About the role
The Office Manager will lead and oversee the administration service and operational tasks within the Academy. They will ensure compliance and delivery to an excellent standard.
Key Responsibilities
General administration
To ensure that all administrative arrangements for the school run effectively through the line management system – including reception, student reception, reprographics, and the administrative team.
Maintain accurate HR records and share information with colleagues or refer on as appropriate.
To support with the management of absence paperwork
Oversee the schools Social Media platforms
Support with updating and compliance of the school website
To support in maintaining the Single Central Record and ensure compliance with DBS checks
To be responsible for ensuring the main reception and student reception are managed at all times
To support with the School Workforce Census making sure that all staff information is correct on Arbor
Line management of the administrative team including probation meetings, management of absence leave and performance management review meetings
Ensure that all new staff are inducted, trained and informed of the school’s ethos, values, safeguarding and trust/school procedures.
Coordinating new staff packs including keys, ID passes etc as part of their induction
To prioritise and delegate incoming work and ensure completion to a high standard and in a timely manner.
Facilitate effective communication within the school community and ensure that all communications sent to parents are of a high standard and are GDPR compliant.
Develop the administrative service and procedures to ensure that processes are effective
To develop an appropriate range of self-evaluation activities to ensure that administration staff regularly review their function and its effects on service provision.
To be responsible for the administration department budget.
To support with the organisation of whole school events
To provide administrative support using Microsoft Word, Excel, PowerPoint, Forms, Teams and Outlook as well as other school packages including Arbor, Wisepay, SAGE, Cunninghams, Inventry and Ring Central.
To be involved in training/INSET activities as necessary.
Administration of Free School Meals and School uniform bursaries
Support the School Business Manager as needed with relevant HR and payroll tasks
Supporting the Senior Leadership Team with ad hoc tasks
To maintain and update the Admin Staff Handbook
Fire Marshall responsible for Critical Incident kit
