Operations Officer job summary
JOB PURPOSE
Responsibility for the day-to-day operational support to Central Services as directed by CFO in a number of areas, to include but not limited to:
PRINCIPAL ACCOUNTABILITIES
Administration:
Ensure best possible use of resources Monitor and evaluate progress against stated objectives and targets Maintain the Trusts contracts database, assess contracts as requested by CFO Ensuring the school receives value for money by benchmarking quality and cost of service. Ensure best value through procurement Maintain Trust and school websites To ensure that all staff are up to date with mandatory online training i.e. safeguarding and GDPR compliance (in liaison with GDPR lead), Smartlog To support the Trust with the provision of data and reports as appropriate (Spiceworks/Health & Safety/weekly Smartlog reports any others as requested by CFO) Any other duties as and when required by the Trust.
Delivery of Support Functions:
Support systems and general management of the schools administrative and IT network and the implementation of appropriate MIS systemsSupport in obtaining the necessary licences and permissions and ensuring their relevance timelines Co-ordinate the provision of efficient and high quality support services through a process of monitoring and review Ensure systems are in line with school priorities and meet legislative, local and national requirements as directed by CFO Ensure adequate electronic and paper management information systems are in place, including effective record management and production of reports and returns.
Estates:
Support the CFO with new capital projects Ensure ancillary services, such as cleaning are monitored effectively and high standards are achieved Oversee the procurement, repair and maintenance of furniture, fixtures and fittings as directed by the CFO and in conjunction with premises team Monitor contracts, tenders and agreements for the provision of support services as directed by the CFO Support with the purchase either directly or indirectly, of the school’s utility supplies Coordination of Health and Safety and supporting third party service contracts Support CFO in ensuring compliance checks and inspections at all sites and maintain data and reports To monitor presentation of the sites on a regular basis and to liaise with CFO/Principals and site team regarding scheduling of works To work within agreed deadlines to provide an on-time accurate service. To comply with all Academy policies and procedures in regard to health & safety and equality to make sure that all actions and inactions do not place anyone at risk.
Transport:
Vehicle maintenance – ensure ten weekly safety checks completed Coordination of service and MOTs Ensure vehicles are insured as directed by CFO Vehicle procurement as directed by CFO Best Value: Ensure school financial standing orders are adhered to and review school systems to ensure value for money and cost effectiveness.Regularly review purchasing and contract arrangements to ensure best value Support with service contracts This job profile is a guide to the work that you will initially be required to undertake.
