Receptionist/Admin Assistant job summary

To carry out administrative and general office duties, as required, providing an efficient and effective service for the Nursery School, in support of the school’s Executive Headteacher. To provide reliable support to the federation’s Executive Headteacher across many competing priorities needing accurate and timely administrative support.

The Role

The job holder is responsible for carrying out a range of administrative duties such as maintaining the pupil database, assisting with the preparation of invoices for fee paying families, preparing stationery orders, replenishing first aid supplies, preparing outgoing post and distributing post and messages to staff. In addition, they also carry out other general office duties such as photocopying and filing as required.

In support of the Executive Headteacher, they will provide administrative support, which, although not exhaustive, may include communicating messages to the wider business management team, coordinating diaries, collating information, preparing reports and monitoring returns against deadlines.

Main accountabilities

  • To receive deliveries for the school.
  • Covering the main reception and taking calls
  • To carry out basic office duties such as photocopying, filing, dealing with general enquiries to ensure the provision of an efficient and effective administration service for the nursery.
  • Taking payments from families.
  • Greeting parents, children and families when they arrive at nursery each day.
  • Collating data into spreadsheets.
  • Generating reports where needed.
  • Preparing documents ahead of meetings.

Knowledge, experience and training

  • Good general level of education including Maths and English to GCSE/O level standard.
  • Experience of dealing with people/providing customer service e.g. previous experience of working as a receptionist.
  • Previous office experience.
  • Computer literate with experience of MS packages.

  • To be able to work independently organising self to complete routine tasks.
  • To be able to prioritise workload and communicate as appropriate any difficulties or challenges experienced.
  • To be able to use initiative and pre-empt requirements of others.
  • To be a team player with the ability to support a small school with tasks as required.

Communication

  • The jobholder must have a good telephone manner and effective interpersonal skills.
  • The jobholder deals with enquiries, provides information to parents, visitors, pupils and staff, face to face and over the telephone. The jobholder must ensure that they are approachable, polite and courteous.
  • To communicate professionally, using negotiating skills, when making enquiries to obtain information from third parties, including contractors.
  • To be able to provide professional and concise written reports.
