Grade E Points 4 - 5 (£24,404 - £24,790)

We are looking to appoint a Receptionist / Administration Assistant to work as part of the busy ‘front of school’ team delivering service provision for visitors, parents and students along with key internal stakeholders. The hours of work needed are between 8.30am – 4.30pm and Part-Time will be considered for the right candidate. The role reports to the PA and Administration Manager.
The role is required to provide a comprehensive front-line reception and administrative service within the team, including telephone response, reprographics for displays as well as various other administrative duties for the school community. This role is key to ensuring inbound queries are acknowledged, answered at source or passed to the appropriate person as necessary so people feel they have received an excellent service at the first point of contact whether via telephone or email.
You will need to be highly organised, IT competent, with good communication skills both verbal and written to provide a professional service.
The team experiences peaks and troughs in work as natural events or planned activities throughout the year emerge and therefore flexibility and a calm presence is a must. As first line of contact in a lot of cases, you will instill confidence and along with colleagues, deliver an excellent service.

Responsibilities include
- Answering the telephone to ensure a prompt and professional service to all callers, resolving queries where possible or passing to colleagues
- Responding to emails to ensure acknowledgement of incoming queries with resolution at source where possible and directing queries to colleagues if necessary
- Setting up and operating filing and retrieval systems to ensure full access to records and compliance with Data protection requirements
- Preparing documents for display boards
- Preparing documents for internal stakeholders through the use of reprographics equipment
- Support key events in the school calendar such as preparation and planning for parents evening (posters / displays) and support subject areas with trip organisation
- Undertaking other tasks in line with the above accountabilities as directed by the Line Manager and Senior Leadership Team.
This role is key to our service provision, requiring flexibility and enthusiasm to help us deliver high levels of support for our stakeholders and visitors and ensuring our provision remains fit for purpose.
