What skills and experience we're looking for
Are you a welcoming, organised, and proactive professional looking to make a meaningful impact in an educational environment? Truro and Penwith Academy Trust alongside Newlyn Primary School is seeking a Receptionist Administrator to join our team. As the literal face and voice of our school, you will act as the first point of contact for all visitors, parents, and callers, ensuring a warm, professional, and secure welcome.
This dynamic role beautifully balances front-of-house reception excellence with vital behind-the-scenes administrative support.
Key Responsibilities:
First Impressions & Reception: Welcome parents, carers, and visitors with the utmost professionalism; manage incoming phone calls and school emails; and maintain a safe, secure, and tidy reception area in line with safeguarding procedures.
Administrative Support: Produce high-quality digital and print correspondence, manage student records (using systems like Arbor), and coordinate school communication, newsletters, and digital files.
Admissions & Transitions: Assist with the administration of student intake and departures, ensuring accurate record-keeping and data protection compliance.
School Life Support: Help coordinate school events, transition days, room bookings, and diary management, while ensuring consistent school branding across all materials.
Community & Culture: Promote the school’s ethos, cultivate nurturing relationships with students, staff, and families, and assist with basic first aid (training provided) when required.
About You:
We are looking for a calm, empathetic, and highly organised individual who thrives in a bustling environment and loves interacting with people. You will lead by example with integrity, resilience, and a positive, solution-focused attitude.
Our Ideal Candidate Has:
Education: A GCSE or equivalent (Level 2) qualification in English and Maths. An NVQ in Business Administration or level 3 IT/typing certificates are highly desirable.
Experience: Proven experience working in an office, reception, or clerical environment. Experience working within a school setting or using the Arbor database is a major plus.
Technical Skills: Strong IT literacy, including practical knowledge of Microsoft Office (Word, Outlook, Excel, PowerPoint) and excellent typing skills.
Communication & People Skills: Exceptional spoken and written communication skills. You must be a good listener who can handle challenging or stressful situations with kindness, patience, and absolute confidentiality.
Work Ethic: A methodical approach to managing your workload, strong attention to detail, and the flexibility to work both independently and as a trusted team player.
Safeguarding Commitment: A profound awareness of, and commitment to, equal opportunities and the protection and safeguarding of children and young people.
