What skills and experience we're looking for
- Experience in front of house reception and customer care
- Good knowledge of Microsoft Office, particularly Word and Excel
- Operating administration systems both electronic and paper based
- Good general education to at least GCSE, including GCSE English grade C or above (or equivalent qualification)
- Enthusiastic ‘problem solving’ mentality
- Attention to detail and a strong commitment to first-class internal and external customer care

We are seeking an experienced Receptionist with excellent customer service and administration skills to join our dedicated, hardworking team which supports all aspects of student administration here at The Deaf Academy. Working under the direction of the Admin and MIS Manager, you will provide a professional reception service ensuring all visitors, callers, students and staff feel welcome.
This role is contracted for 37 hours a week over 39 weeks, working Monday to Friday 8am to 4pm. It is a pivotal and essential role within the Deaf Academy as you will be the first point of contact supporting external and internal visitors. The ability to remain calm and professional under all circumstances is crucial.

Reception
- To provide a professional and welcoming reception service for visitors and callers.
- Manage all incoming telephone calls by channelling to appropriate departments or by recording detailed messages to be relayed appropriately.
- General housekeeping of all documentation held at reception.
- Maintain presentation of the reception area.
- To deal with telephone, text, email and other internal and external communications.
- To make sure that all visitors sign-in using the correct procedure.
- To issue staff and visitor ID Badges.
- To maintain accurate and appropriate paper & electronic records as required.
- To ensure that strict confidentiality is maintained in relation to the Academy’s work.
- Provide support as the first point of contact for parents/carers when queries arise before passing on to other relevant staff such as the welfare team or tutor.
General administration
- Carry out routine administrative duties, including bookings of rooms & cars and supporting the rest of the Academy Admin Team.
- To assist with the preparation and distribution of newsletters and other documents to parents/carers and other external parties.
- To carry out routine administrative duties, including photocopying, filing, scanning and laminating as directed by the Admin & MIS Manager.
- Liaising with external organisations as required.
- Support Academy staff with reporting maintenance and IT requests.
- To maintain diaries by booking appointments, arranging meetings, and organising refreshments when required.
- Support with Home Weekends and Holidays to ensure students leave the site safely.
- Oversee the ordering process for stationery items across the academy, and other items when required, to include placing and tracking orders, receiving and reconciling deliveries and carrying out any follow-up actions as necessary.
Information Management
- To act as system administrator for the MIS database, including ensuring that the data held is accurate, secure and complete at all times.
- To produce reports as required.

Safeguarding is at the centre of all that we do at the Deaf Academy. Our Safeguarding Lead is James Heaver, who is supported by three Deputies and the wider welfare team, but everyone has an important role to play in safeguarding the welfare of our students and every single member of staff completes compulsory safeguarding training.
