Job Description
Safeguarding and admin officer
Salary: L5
Reporting to: DSL
Key purpose of the job: To provide confidential administrative and pastoral support to the Designated Safeguarding Lead. The role includes direct work with students and leading small group work, minute taking in confidential meetings, diary management, engaging and liaising with local agencies and professionals, record and file keeping and tracking staff training.
Responsible for: day-to-day support for the Designated Safeguarding Lead in order to keep students safe.
Duties can include, but not limited to:
1. Manage, plan and co-ordinate the administration of the Safeguarding Team including telephone calls, emails, filing and record keeping, scanning and uploading documents on to CPOMS, managing internal files and preparing student files for posting.
2. Co-ordination of safeguarding meetings, attend and take minutes as and when required including both internal and external meetings.
3. Primary contact for monitoring and actioning vulnerable students attendance.
4. Monitoring CPOMS including file transfers, administration to groups, reports and tagging, monitoring open cases and following up on set actions alongside including information sharing to relevant staff members as required.
5. Ensuring all safeguarding files are sent/collected and record keeping of that.
6. Oversee the safeguarding teams record, ensuring all information is current and updated at all times.
7. Collate, produce and relay data for reports as required. This will include reports and requests from professionals such as social workers and then also relaying this information at professional meetings when needed.
8. Tracking and logging students who leave role for various reasons including elective home education, in year transfers and missing in education; ensuring that relevant records are passed on to new agencies and all other information is archived.
9. Support with other interventions as required including year 6 transfers, open evenings, parent and carers evenings, new staff training, assemblies, supervising external visitors and parental information sessions.
10. Support in the organisation and preparation for the school development plan, safeguarding audits and Ofsted.
11. Producing and writing parental letters, information leaflets and safeguarding information for both distribution and the school website.
12. Track and record staff training in line with the Single Central Records database.
13. Working with other departments in the school including pastoral teams, SEND and attendance to support vulnerable students.
14. Plan and deliver small group work with selected students for specific programmes alongside also undertaking welfare checks and safety planning with identified students.
15. Liaise with parents/carers or other agencies on safeguarding issues.
16. Any other reasonable task required within the safeguarding department.
CONTRACT Full time, permanent, 37 hours per week, Term time + 1 weeks, Mon-Thu 8.30am-4.30pm & Fri 4pm
