At The Gateway School, we support students with Education, Health and Care Plans (EHCPs) and a range of social, emotional and mental health (SEMH) needs. Our mission is to empower young people to thrive academically, socially and personally. As part of a supportive and dedicated team, you’ll help us make sure every student receives the right support at the right time.
What You’ll Be Doing
As our SEND Administrator, you will play a vital role in coordinating and maintaining the school’s SEND processes. You will be responsible for:
Annual Reviews
Supporting the management of the full Annual Review process, from scheduling meetings and sending invitations to preparing documentation and submitting completed reviews to the Local Authority and Parent/Carers.
Collating information, producing review packs and ensuring all statutory deadlines are met.
Costed Provision Mapping (CPM)
Administering the termly Costed Provision Map, including collecting intervention information, updating records and ensuring accurate data is uploaded to Arbor.
Processing Consultations
Receiving and tracking SEND consultations from the Local Authority regarding potential student placements.
Liaising with the SEND Manager and SENDCo to gather required information and coordinate responses within statutory timelines.
Preparing and submitting consultation responses, ensuring accuracy and clear communication with the Local Authority.
Maintaining organised records of all consultation activity and outcomes.
SEND Systems & Data
Using systems such as Arbor and Evidence for Learning (training provided) to update SEND information, trackers and student documentation.
Maintaining accurate SEND records and supporting referrals, reports and data collection.
Communication & Stakeholder Support
Acting as a key contact for Parent/Carers, staff and external professionals.
Handling phone calls and emails professionally and sensitively.
Providing high-quality administrative support to the SEND Manager and wider Senior Leadership Team.
Transition Support
Supporting the SEND Manager with transitions for new starters and in-year admissions, including gathering documentation, updating systems and coordinating transition visits.
Looked After Children (LAC)
Support the LAC Lead with PEP documentation, tracking deadlines and liaise with social workers, carers, school staff and the LAC Lead to gather required information.
This is a fast-paced role where accuracy, initiative and excellent organisational skills are essential.
We’re Looking for Someone Who Is:
Tech-Savvy:
Confident with Microsoft Office—especially Word and Excel. Experience with Arbor or Evidence for Learning is an advantage (training provided).
Highly Organised & Proactive:
Able to manage competing and sometimes conflicting deadlines, with excellent attention to detail.
A Strong Communicator:
Friendly, professional and confident when speaking with Parent/Carers, staff and external agencies.
