Main duties and responsibilities:

This role will primarily support the administration of the school, but ensure the smooth running of operations, systems, practices, and events and act as a point of contact for the parents, Trust colleagues and outside agencies.

  • Preparation and distribution of documents, reports, action and business plans, strategy or policy documents on behalf of the school.
  • Ensuring that office administration duties are given timely attention, with an ability to manage that workload ensuring a high quality service to the senior team.
  • Receiving visitors to the school, ensuring action plans are in place for certain visitors.
  • Dealing with unexpected situations as they arise which can involve communication over the phone or in person, dealing with potentially difficult or confrontational individuals. Ensuring the matters are dealt with quickly and without escalation.
  • Organising venues, resources, refreshments etc for meetings, interviews and briefings etc.
  • Supporting the school with suspension and permanent exclusions.
  • Maintaining confidential electronic and other filing systems held on behalf of the school. Complying with GDPR regulations where appropriate.
  • Planning and coordinating programmes for visitors to the school, for example CPD sessions and Inset day programmes.
  • Liaison with the DSL (and team) providing the administration support for the schools localised CPOM network. including running reports, training records and vital statistics.
  • Liaison with the assistant principal providing administrative support for the transitional processes between primary and secondary school.
  • Assisting in arrangements for externally facing school events.
  • Recording the attendance or absence reporting on college inset days.
  • Provide up to date CPD online training records for the whole college staff.
  • Contributing to the Trust central team, in localised arrangements for the organisation of recruitment process.
  • Working with the school to organise, develop and run the absence process, aligning with Trust central policies and processes.
  • Leading on the use of the admintps@dmatschools.org.uk email address.

Minimum of Level 2 qualification in English and Mathematics

Further qualification or training in Business Administration, HR or Communications.

Good general standards of education and IT skills

The successful candidate will be required to come to DMAT HQ to complete mandatory training.

Training Details:

Location: Central Head Office (Wardhayes) 8 Simmons Way, Okehampton, EX20 1PY

Purpose: To provide comprehensive training on company policies, procedures, and systems necessary for successful integration into the role.

Training Schedule: Daily sessions from 9am to 4pm, with breaks provided.
