Sixth Form & SEND Administrator job summary
Reading Girls’ School is seeking a highly organised, proactive and student‑focused Sixth Form & SEND Administrator to join our dedicated team. This is a key role supporting both our expanding Sixth Form and our SEND department, ensuring students receive exceptional academic, pastoral and administrative support.
This dual‑focused position provides vital administrative, organisational and pastoral support across two areas of the school:
Sixth Form
You will work closely with the Head of Sixth Form to ensure the smooth day‑to‑day running of the Sixth Form, supporting students’ independent learning, wellbeing and progression into further education, apprenticeships or employment.
SEND
You will provide high‑quality administrative support to the Assistant Principal/SENCo, helping maintain accurate records, coordinate statutory processes and ensure the needs of SEND students are met effectively.
Key Responsibilities
Sixth Form Administration & Pastoral Support
- Provide administrative and organisational support to the Head of Sixth Form.
- Supervise Sixth Form study periods and guide students in independent learning.
- Offer pastoral support to students, including wellbeing and attendance interventions.
- Organise internal and external applications to the Sixth Form.
- Track and monitor Sixth Form attendance, initiating interventions where needed.
- Liaise with parents, carers and students regarding attendance, punctuality and pastoral concerns.
- Provide advice and guidance on post‑18 pathways including university, apprenticeships and employment.
- Help coordinate the Sixth Form Enrichment Programme.
- Assist organise key events such as Parents’ Evenings, Open Evenings, Induction Day
- Manage administration of the Sixth Form Student Bursary.
- Produce letters, guides and information for students and parents.
- Track university visits and support the UCAS process.
- Share Sixth Form updates and information with staff.
SEND Administration
- Provide administrative and organisational support to the Assistant Principal/SENCo.
- Manage the SENCo’s diary, schedule meetings and arrange EHCP annual reviews.
- Prepare agendas, take accurate minutes and distribute paperwork.
- Produce reports, letters and learning plans with high levels of accuracy.
- Maintain and update the SEND register and student databases (e.g., SIMS, Arbor).
- Ensure all SEND documentation is stored securely in line with GDPR.
- Assist with evidence gathering for funding applications and exam access arrangements.
- Act as first point of contact for parents, carers and external professionals.
- Liaise with primary schools to gather transition data for incoming Year 7 SEND students.
- Circulate student profiles and strategies to teaching staff.
- Monitor and order specialist equipment and resources.
- Assist in tracking SEND department budget expenditure.
We are seeking a candidate who is:
- Highly organised, efficient and able to manage multiple priorities.
- A strong communicator with excellent interpersonal skills.
- Confident working with students, parents, staff and external agencies.
- Able to maintain confidentiality and handle sensitive information professionally.
- Calm, supportive and student‑focused, with strong pastoral awareness.
- Proficient in IT systems and confident using platforms such as SIMS
- Knowledgeable about SEND processes or Sixth Form administration (desirable).
