Admin Assistant - Trips & Visits job summary

Do you have strong administrative skills and enjoy working in a busy, fast‑paced school environment?

Hampton Gardens School is seeking a highly organised, proactive and confident Admin Assistant to play a vital role in supporting our school’s extensive programme of educational visits, enrichment activities and overseas trips.


What You’ll Be Doing

Working closely with the Administration Manager/PA to the Head of School, the Educational Visits Co-ordinator (EVC) and senior leaders, you will:
  • Lead on the administration and coordination of overseas, UK residential and day trips, enrichment activities and Enrichment Week
  • Ensure all required documentation, risk assessments and approvals are in place and compliant with statutory requirements
  • Obtain quotes, coordinate bookings and ensure trips are well organised and offer value for money
  • Manage trip communications, payments and consent processes, liaising sensitively with parents and carers
  • Maintain accurate records and spreadsheets, including data entered on the Evolve system
  • Support staff during trips and visits, including providing assistance if issues arise (occasionally out of hours)
What We’re Looking For:

We are looking for someone who:

  • Has strong administrative and organisational skills, with excellent attention to detail
  • Is confident using Microsoft Word and Excel, including maintaining spreadsheets
  • Communicates clearly and professionally with staff, students, parents and external providers
  • Can prioritise a busy and changeable workload, using initiative and discretion
  • Enjoys working as part of a close-knit team and is willing to “muck in”
  • Has a positive, flexible and resilient attitude

Experience of working in a school or similar environment is highly desirable, but not essential.

Working Hours & SalaryGrade 6 - £26,402 to £28,598 FTE (pay award pending)
  • Hours: 8.00am - 3.45pm, with a 45-minute unpaid lunch break
  • Total: 35 hours/week, term time plus 5 days
  • Actual salary (39 weeks): £21,385 - £23,164 (pay award pending)
