Administrative Assistant

The Administrative Assistant provides efficient, professional and friendly support that helps keep the school running smoothly every day. As a key member of the school office team, you will be at the heart of school life, welcoming visitors, supporting pupils, assisting staff and ensuring administrative processes are delivered accurately and effectively.

This is an exciting and varied role that requires excellent organisational skills, a positive attitude and a commitment to providing outstanding customer service to the whole school community.

Key ResponsibilitiesReception and Visitor Experience
  • Create a welcoming, professional and organised reception area for pupils, parents, staff and visitors.
  • Act as the first point of contact for all visitors, ensuring a positive experience and maintaining safeguarding and security procedures.
  • Receive visitors, contractors and deliveries, managing associated administration including visitor badges and delivery documentation.
  • Conduct tours of the school for prospective parents, visitors and external stakeholders when required.
  • Respond confidently to enquiries in person, by telephone and email, providing accurate information about the school and its activities.
  • Provide support and guidance to pupils who require assistance, referring them to appropriate members of staff when necessary.
  • Operate the school's telephone system, ensuring calls are handled professionally and directed appropriately.
Administrative Support
  • Manage incoming and outgoing post, ensuring timely distribution, processing and record keeping.
  • Maintain records relating to postage, deliveries and correspondence.
  • Ensure office stationery and supplies are monitored, ordered and maintained to support the smooth running of the school.
  • Maintain accurate records, databases and filing systems, ensuring information can be easily accessed when needed.
  • Process and maintain petty cash records in accordance with school procedures.
  • Prepare registers, attendance records and absence documentation, ensuring information is communicated promptly and accurately.
  • Produce high-quality letters, reports and other documents using a range of office software.
  • Take accurate minutes at meetings and distribute records as required.
  • Administer late arrival and pass-out procedures for pupils, maintaining accurate records.
Communication and Customer Service
  • Build positive relationships with pupils, parents, staff, governors and external agencies.
  • Handle enquiries sensitively, professionally and confidentially.
  • Support effective communication across the school, ensuring messages and information are relayed accurately and efficiently.
  • Promote a positive image of the school through excellent customer service and professional conduct.
General Office Support
  • Assist with the administration of school events, activities and operational processes.
  • Support colleagues across the school with a range of administrative tasks.
  • Contribute to the efficient organisation and smooth day-to-day operation of the school office.
  • Undertake additional administrative duties appropriate to the role as required.
