Admin Assistant job summary

Yenton Primary School is seeking to appoint a warm, highly-organised, and professional Administrative Assistant to join our vibrant and dedicated admin team.

This is an exciting opportunity for someone with a strong background in administration—ideally with experience in a school environment—to play a key front-facing role in the life of our school. You will be the first point of contact for all visitors, phone calls, and enquiries, helping us deliver an exceptional and welcoming experience to our pupils, parents, staff, and wider school community.

Key Responsibilities:
  • Act as the first point of contact for parents, visitors, pupils, and staff, ensuring a friendly, efficient and professional reception service.

  • Support the smooth running of the school office by providing a wide range of administrative tasks to the Senior Office Manager and Senior Leadership Team, carrying out responsibilities and guidance issued from the Headteacher

  • Manage correspondence including letters, emails, deliveries, and phone calls.

  • Maintain and update school records, databases, and filing systems using software such as Microsoft Office, Arbor, Access and Free School Meal Checker.

  • Support with the organisation of whole-school events such as open evenings, parent evenings, and meetings.

  • Monitor visitor access, health and safety procedures, and ensure safeguarding protocols are upheld at all times.

  • Liaise with internal and external stakeholders including parents, governors, regulatory bodies, and the School Health Service.

  • Assist with GDPR compliance, data management, and support with Subject Access or Freedom of Information requests if required.

What We’re Looking For:
  • Experience in an administrative or receptionist role, preferably within a school or educational setting.

  • Excellent communication and interpersonal skills—both written and verbal.

  • A calm, professional, and approachable manner.

  • Proficiency in Microsoft Office (Word, Excel, Outlook) and confidence using IT systems; knowledge of school MIS systems (e.g. Arbor) is desirable but training will be provided.

  • Ability to prioritise workload, multitask, and remain organised in a busy environment.

  • A flexible, adaptable, and proactive attitude.

  • A strong commitment to safeguarding and promoting the welfare of children.

  • GCSE Grade C/4 or above in English and Maths (or equivalent).
