Administration Assistant job summary

Swallownest Primary School is seeking an organised, approachable, and proactive Admin Assistant to be the welcoming face of our reception and school office. This is a key role at the heart of our school community, providing excellent front‑of‑house service and day‑to‑day administrative support.

The Admin Assistant will be directly responsible to the Office Manager but will work closely with other school staff including the Head of School. The role is 32.5 hours per week term time only.

As the welcoming face of our school, you will manage the front desk, handle daily enquiries, and ensure all visitors receive a professional and positive first impression. You will also support a wide range of administrative, attendance and organisational tasks under the guidance of the Headteacher and School Office Manager.

About You

We are looking for someone who is:

Experienced in working within a busy office environment (minimum two years).

Confident and professional when dealing with parents, pupils and staff.

Highly organised with excellent attention to detail and the ability to prioritise effectively

Skilled in Microsoft Office, with strong written and verbal communication skills.

Able to handle confidential information with discretion and follow safeguarding procedures.

Comfortable working independently or as part of a team in a fast‑paced environment.

Knowledgeable in working with Arbor (desirable — training provided).

A first-aid qualification is desirable (training can be provided).

Qualifications

Minimum GCSE Grade C/4 or above in Maths and English (or equivalent).

At least two years of administration experience, ideally within an educational setting.
