Administrative and Finance Assistant L3 (point 6-8)

35 hours per week, 39 weeks per annum

Annual Actual Salary £ 19.022- £19.667

£12.38 - £12.80 per hour

We are looking to appoint an enthusiastic and dedicated Administrative and Finance Assistant to join our friendly, and inclusive school starting from 1st May 2024

You will need to have a positive attitude, with the ability to keep accurate records and remain calm in a busy working environment.

Duties include:

  • General clerical duties which include greeting visitors and dealing with parent enquiries. Providing a polite and helpful service, with responsibility for answering telephone calls, taking messages, and passing calls to colleagues as appropriate. Opening and distribution of incoming mail, filing, photocopying, and answering email enquiries.
  • Financial and administrative duties within the school office, including processing purchase orders, ordering stationery and other resources as requested.
  • Support the administration of school meals and school milk including processing of registers, purchase orders and ensuring the collection of monies within the school is performed in accordance with agreed procedures. Produce straightforward reports as requested.
  • Provide administration support of school trips, events, and other extra-curricular activities, ensuring accurate costings and meeting legal requirements regarding health and safety. Support trip leaders with the completion of risk assessments, work with Assistant SENCo to ensure equitable access for all pupils and accessibility for all children with complex physical and medical needs.
  • Set up and monitor student payments, working in partnership with the finance to team to ensure purchase orders are raised and invoices are paid in a timely fashion once payments from students are received. To be responsible for the financial reconciliation of school trips in a timely manner.
  • Administrate travel packs (administration and medical) and other preparation of records and resources for activity leaders to take on the trip, work with colleagues and ensure events are recorded using the EVOLVE system, and approved in a timely manner.
  • Maintain the school fundraising records in accordance with school policy and procedure.
  • Provide cover as required in the medical room, contacting parents in the event of injury or illness, administering basic first aid and maintaining all school records. (First Aid training will be provided.)
  • Undertaking any other duties of a similar level and responsibility, may be required.

This is a permanent position; Monday to Friday, 8.30am to 4.00pm, term-time plus one week. (39 weeks per annum)
