Administrative Assistant job summary
We are looking to appoint a welcoming and organised Admin Assistant to become part of our team at Coleridge Primary School. Coleridge is a warm and inclusive school, currently graded Outstanding by Ofsted, and sits at the heart of a vibrant and culturally diverse community close to Rotherham town centre.
As the first point of contact for visitors and callers, you will play a vital role in creating a welcoming and professional environment. You will support a wide range of administrative and operational tasks, working closely with colleagues to ensure systems and processes run effectively.
Key responsibilities:
- Act as the first point of contact for enquiries, in person, over the telephone and by email, ensuring that all queries are handled efficiently and directed appropriately
- Be able to communicate effectively and professionally, respecting the needs of the diverse multi-cultural catchment of the school
- Ensure the smooth and effective running of the school office and all administrative systems while being responsible for overseeing various administrative tasks and providing essential support and information to staff, parents, and visitors.
- Assume responsibility for the operation of some of office procedures, including but not limited to word processing, record keeping, reprographics, banking transactions, sorting and distribution of mail and handling medical and reception duties, ensuring smooth and efficient operations.
- Utilise advanced skills in word processing, Excel spreadsheet management, and other computerised systems to support administrative tasks efficiently and effectively.
- Take notes and maintain accurate records of meetings when required
- Support school events by coordinating bookings, welcoming visitors, and assisting with hospitality
- Comply with, confidentiality and data protection processes, reporting all concerns to the appropriate person.
- Promote the safeguarding and wellbeing of children and to report any concerns about the safety of a child to the DSL following school policy and practices.

CHILDCARE (DISQUALIFCATION) (Applicable to Primary aged Schools)
In accordance with the Childcare Act 2006 and the Childcare (Disqualification) Regulation 2009 the Governors are required to obtain an additional staff disqualification declaration for employees within settings providing care for early years childcare (this covers the age range from birth until 1st September following a child’s fifth birthday i.e. up to and including reception age) or later years childcare (this covers children above reception age but who have not attained the age of 8) in nursery, primary or secondary school educational settings, or if when directly concerned with the management of such childcare related establishments. This declaration is to confirm that you are not disqualified ‘by association’ to anyone currently residing within your household who is disqualified under the Childcare (Disqualification) Regulation 2009
