What skills and experience we're looking for

1. Support the receptionists in providing a comprehensive welcome service to parents and visitors to the school, in line with school policy and procedure including maintaining strict safeguarding checks, and demonstrate a consistently helpful and supportive attitude, using sensitivity and empathy as appropriate.

2. Assist with the administration of pupils’ lunch, processing orders in a timely manner and in-line with school procedures.

3. In liaison with HR / Payroll and Communication maintain and manage all visitors and contractors records to the school, ensuring all appropriate safeguarding, equal opportunities and health and safety practices are in place and that staff, pupils, parents, contractors etc. arriving or leaving outside regular school hours follow correct procedures and are provided with the information required for the purpose of their visit.

4. In liaison with the Data Officer, or in their absence, correspond with parents to follow up on absence and attendance concerns in line with School policy and procedures. Contact parents and carers of absent pupils and for other required notifications in line with school policy and procedures using phone, text, email or App as appropriate;

5. Process all incoming calls and messages, ensuring accurate and timely distribution of messages, with queries dealt with promptly;

6. Process and retrieve information from manual and computer based systems;

7. Administer and process the communication of extra curricula clubs and peripatetic lessons, liaising with the Senior Administrator – Communications to post relevant information to the website.

8. Input permissions, lists and other ongoing record keeping documents, ensuring they are stored centrally, securely and are accessible yet GDPR compliant.

9. In a professional and pro-active manner, support the Business Manager and wider administrative team, taking responsibility for a broad range of administrative tasks in line with Trust and School procedures and which supports a high quality office administration provision for the school. Tasks may include dealing with external enquiries, liaising with external agencies, organise meetings and hospitality, assist with arrangements for school visits and events, booking trips, ticketing for events/performances, reprographic tasks, maintaining stationery /stock, or such other administrative duties outlined to you.

10. As directed by the Bursar, and in liaison with the Administrative and Finance Assistant, ensure all finance related administrative tasks, including cash handling is accurate and in line with School and Trust Policy and procedures, maintaining effective and accurate records.

11. Assist with all Health and Safety administration and support the First Aid arrangements for the school, including recording incidents and injuries in line with procedure and supervise pupils who are unwell;

12. Contribute to the continuous improvement of the reception and administrative provision of Langstone Primary to improve quality and efficiency.

13. Actively participate in whole school events, including sports day and performances;
