Administrative Assistant (Level 2 - Secondary) job summary

We are seeking an organised and proactive Administrative Assistant (Level 2) to join our busy and friendly school office team. This is a varied role where you will provide high-level administrative and clerical support across the school, including financial administration, general office administration, and other business support duties. Working closely with teaching and support staff, you will play a key role in ensuring our systems run efficiently, our visitors and parents receive excellent customer service, and our records are accurate and up to date. The ideal candidate will have strong IT skills, experience in administration or finance (preferably in a school setting), and the ability to work independently as well as part of a team. You will be confident in prioritising tasks, handling sensitive information with discretion, and building positive relationships with colleagues, students, parents, and external agencies. Specific duties and responsibilities:

To be responsible for providing an efficient administrative support service, following systems and processes to the standards required by the School/Trust and appropriate regulatory bodies. The postholder will undertake higher level admin and clerical duties within the school, including school based finance administrative tasks.

Undertake reception duties, answering general telephone and face to face enquiries and signing in visitors, to support or cover the reception team as required.

Assist parents and visitors with their queries and direct them to the relevant person within the school in a courteous, helpful and professional manner.

Assist in the administration of school trips/events etc.

Undertake routine administrative tasks, e.g. typing, photocopying, filing, minute taking, and other clerical duties as required.

Respond to less routine or more specialist school-based enquiries.

Be responsible for the completion and submission of complex forms, returns etc., including those to external agencies.

Undertake complex IT based processing or data entry tasks, using standard administrative packages (Microsoft) and bespoke school management information and finance systems.

Maintain and manage manual and electronic record/information systems as directed.

Analyse and evaluate data/information and produce reports as required.

Take a lead role in the maintenance of complex administrative systems.

Contribute to the planning, development and organisation of support service systems and procedures.

Supervise, train and develop staff as appropriate.

Operate established and new technology based/ electronic office equipment..

Undertake general school based financial administration as appropriate e.g. processing orders, review deliveries, receipt goods, investigate discrepancies with suppliers, in order with the Trust’s policies and procedures.

Negotiate with suppliers to ensure best value in regard to goods and services.

Guide colleagues in relation to best value practice and efficient use of public monies.

Liaise with teachers, support staff, parents and third parties concerning student/parental payments due in respect of school trips, sales, school damage charges, chasing parental debt.

Administer school based sales on the parental payment system.

Assist the central finance team and school Business Manager with monthly payroll input and the checking of payroll reports.

Schools are cashless but for adhoc income collect, receipt and bank in accordance with financial procedures.

Liaise with teaching and support staff and respond to enquiries on financial matters within the post holder’s responsibility.

Provide general advice and guidance to staff, students and others as appropriate.

Undertake research and obtain information to inform decisions.

Assist with marketing and promotion of the school, including updating information on the school website as appropriate.

Maintain any stocks and supplies within an agreed budget, cataloguing, auditing and distributing as required by the school. (e.g. Stationery, books etc).

Maintain and operate any school based “sales” and associated payment systems e.g. uniform, revision guides etc as required by the school.

Undertake routine administration of school lettings and other premises use as required.

Be responsible for Medicines and First Aid as required by the school.

Support for the trust/school:

Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person.

Work in a flexible way to respond to the needs of the trust and to fulfil other duties and responsibilities appropriate to the grade and role as and when required.

Be aware of and support difference and ensure equal opportunities for all.

Appreciate and support the role of other professionals.

Attend and participate in relevant meetings as required.

Contribute to the overall ethos/work/aims of the trust/schools.

Participate in relevant training, other learning activities and performance management as required.

Team responsibilities: all staff are considered part of the overall trust team and may be required to provide assistance to colleagues in other areas from time to time commensurate with the role, skillset and grade.

From time to time, to meet the needs of the trust, you may be asked but not expected to work hours additional to your normal working hours. The trust will give you as much notice as possible and you will be paid/recompensed for such work. Situations where this might be required are, for example: relevant key school events such as open evenings, exam results days, trips, clubs, training etc.

Changes to these duties:

The above duties are not exhaustive and the post holder may be required to undertake tasks, roles and responsibilities as may be reasonably assigned to them by the Headteacher/Principal. The job description and allocation of particular responsibilities will be kept under review and may be amended via consultation with individuals, the governing body or board of trustees and/or senior leadership team as required. Trade union representation will be welcomed in any such discussions
