Administrative Officer job summary

Main purpose

The Administrative Officer is responsible for ensuring the smooth and efficient operation of administrative functions within the school.

Key Responsibilities

providing support to various departments, managing office systems, and ensuring compliance with organisational policies.

HR - related responsibilities, such as maintaining employee records, assisting and recruitment and supporting HR compliance and employee relations initiatives.

Ensuring the school is fully compliant with Safer Recruitment legislation and that the school SCR is up to date and compliant.

General Administrative Roles

Have excellent knowledge of the school’s office procedures and to carry out all administrative duties in a timely and efficient manner.

Handle difficult situations with sensitivity and calm, ensuring you are always aware of the safeguarding of pupils, data protection and the need for confidentiality.

Able to use own initiative and prioritise tasks.

Ensure that contact with all staff, pupils, parents and visitors to the school, electronically, by telephone and in person, are dealt with in a professional and helpful manner in line with the ethos of the school. Maintaining a professional image at all times.

Assist with duplicating, collating and distributing information to parents, staff and governors.

Promoting and maintaining good relationships with all staff, external stakeholders and the wider community.

Cover other office functions in times of staff absence as directed by the Office Manager.

Receive incoming mail and email, send external mail, emails and texts, receive telephone calls and take messages, promoting the school’s ethos.

Arrange appointments, cancelling and re-arranging if necessary.

Set up and manage the school clubs and wrap-around care within the school’s information system. Ensure accurate information is entered, including club schedules, capacities, fees and descriptions.

Monitor club bookings and ensure all fees for clubs are recorded and processed through the management information system.

Provide clear instructions to parents on how to book clubs through the system.

Respond promptly to queries about club availability, booking issues and payments.

Generate and distribute reports on club enrolment, attendance and revenue.

Regularly review and update processes to ensure efficiency and accuracy.

Any other duties within the scope of this function as directed by the Headteacher.

Human Resources Responsibilities

Ensure compliance with Trust wide policies in relation to HR and that the school leaders and staff are aware of relevant legislation including KCSIE.

Have up to date knowledge of Safer Recruitment and being responsible for ensuring best practice in all recruitment processes across the school.

Recruitment and onboarding: -Assist in job postings, schedule interviews, coordinate onboarding processes and preparations of new hire paperwork and induction plans.

Administer all new starters/induction and leavers information, including computer log in’s, emails, Management Information System and Single Central Register.

Ensure a high standard of delivery of the HR function including but not limited to induction, probation, performance management, CPD, wellbeing, absence management and retention.

Identify training needs and organising development programmes for employees.

Maintain up-to-date employee records in compliance with data protection laws.

Administer monthly absence returns, enter on to the Management Information System and prepare absence monitoring information for the Headteacher.

Assist the Headteacher with informal and formal absence monitoring.

Liaise with payroll to ensure accurate and timely processing.

Support disciplinary and grievance processes by scheduling meetings and preparing documentation.

Ensure the completion and submission of the School Workforce Census and DfE returns.

Support school HR staff in relation to HR and best practice.

Administer changes to existing employment contracts.

Prepare reports, letters and documentation as required.

Together with the IT department, ensure all loaned equipment is correctly issued and collected as appropriate.

Act as a point of contact for employees on HR-related issues and concerns.

Promote a positive workplace environment and addressing grievances and disputes.

Manage leave requests, attendance records, and other HR systems.

Perform other duties and responsibilities as assigned by members of the Senior Leadership Team;

Develop effective and professional relationships with colleagues and know how and when to draw on advice and support;

Carry out the duties of an administrative officer as set out in the pay and conditions document. This includes any duties as may be reasonably directed by the Headteacher;
