Admissions Officer job summary

Admissions

  • To ensure the correct administration and implementation of the Governing Body’s Admission Policy (under guidance of Clerk to the Governing Body/Deputy Headteacher) in relation to Year 6 to 7 and In Year Applicants.
  • To assist the Headteacher/Deputy Headteacher with the co-ordination of admission events and attend admission parent/carer evenings and other events throughout the academic year.
  • To be responsible for all areas of administrative organisation of the Year 6 into Year 7 transfer process.
  • To respond to all parental queries relating to the school’s admission policy and application process.
  • Ensure that Year 6-7 applications are ranked in accordance with the school’s admission policy and returned to LA within required deadline. Liaise and/or respond to LA queries.
  • Ensure that administration in respect of all offers and refusals for Year 6 to 7 applicants is carried out correctly by LA.
  • To check and ensure that LA Year 6-7 offer list and subsequent waiting list is correct and record and maintain offers and waiting list information relating to September Year 7 applications.
  • Carry out administration relating to the induction process for Year 7 students and update all personal information.
  • Liaise with primary schools to ensure background/electronic information shared and uploaded.
  • To assist in the allocation of students to Houses and Form Groups.
  • Collation and administration of Induction Packs.
  • Administrative duties in preparation for admission events. Attend all admission events as necessary.

Leavers

  • To co-ordinate In Year Leavers for Year 7-11 mid-term.
  • To maintain the school database in relation to ‘leavers’ and ensure records are accurate for statutory returns.
  • To ensure LA requirements are completed including LA statutory notifications.
  • To liaise with school staff and the receiving school to ensure smooth transfer for students leaving the school.
  • Collection and collation of student information (CTF/student file) to be actioned to receiving school.
  • To co-ordinate Year 11 Leavers/complete administrative duties at the end of the academic year as necessary.
  • Support with the undertaking of leaver reports including those relating to Permanent Exclusion.

Mid-Year (In Year Applications)

  • To co-ordinate In Year applications and be responsible for all administrative organisation of transfers to the school for Years 7-11.
  • To liaise with Headteacher with regard to In Year applications and ensure that administration of offers/refusal letters is effectively carried out within LA deadlines including statutory notifications.
  • To liaise with other secondary schools to ensure the smooth transfer of students joining the school mid-year (including CP notification on behalf of DSL).
  • To maintain accurate waiting lists for all other year groups.
  • To liaise with SLT and HOFs regarding placement of House/Form and academic completion of timetable for new entrants.
  • Preparation of information to staff regarding new entrants.
  • To assist Headteacher/Head of Transition with admission arrangements as necessary.
  • To induct mid-year students into The Billericay School system in liaison with the Pastoral team.

Appeals

  • To liaise and assist the Headteacher, Clerk to the Governing Body and Clerk to the Appeals Panel with appeal arrangements and appeal related administration.
  • Attend appeal hearings as part of the school representation.

Marketing

  • Gathering, creating and editing of news stories for publication on the school website, social media and other channels.
  • Support with the organisation of photography at events and activities including the taking of photographs for smaller in-school events

Other

  • To provide administrative support to SLT as required including;
  • o Proof reading of documents.
  • o Composition of letters.
  • o Designing and creating publications and marketing documents.
  • o To take minutes of meetings, as required.
  • o Arrange meetings, as required.
  • Provide general administrative support for the wider school as required, under the direction of the Headteacher or SLT.
  • Undertake the administrative duties related to creating the school’s calendar of events for parents/carers and staff.
  • The duties above are neither exclusive nor exhaustive and the postholder may be required by the Headteacher to carry out appropriate duties within the context of the job, skills and grade.

The Billericay School is one of the largest schools in Essex with a roll of almost 1700 students, including 300 in the Sixth Form. The school site enjoys an enviable location; close to the town centre, yet situated in spacious grounds, the school is positioned on an elevated site with distant and sweeping views down towards the River Thames and beyond. In times past, a windmill stood nearby, a piece of local history still commemorated in the school badge.

Teaching takes place in five principal blocks.

The original structure, that dates from the school's foundation some sixty years ago includes an open air, furnished and planted quadrangle for lower school students to use during the summer months.

Other buildings include a modern Technology and Business Studies block, an Art, Food Technology and Textiles building and a Sixth Form Centre that provides a modern, attractive environment for our older students.

Other resources include a large assembly hall with television link, a drama studio, a music suite with recording studio, a media area with video editing suite and a large library/ resource based learning centre, which includes extensive ICT and study facilities as well as housing over 30,000 books.

The school's sporting facilities are exceptional, including a swimming pool, sports hall, gymnasium and fitness suite.

Our grounds include tennis and netball courts and football, rugby and cricket pitches. The school has recently achieved the national Sportsmark Award for its sporting excellence and work with the community.

The school also has a medical room, with the services of qualified staff throughout the school day.

It is also worthy of note that many of our staff have chosen to send their own children to the school. What greater sign of confidence could there be!
