What skills and experience we're looking for
Dr. South’s CE Primary School is seeking a Clerk to the Governors to begin in October/November 2024.
This job description describes in general terms the normal duties which the post-holder will be expected to undertake. However, the job or duties described may vary or be amended from time to time without changing the level of responsibility associated with the post.
This post holder is responsible for ensuring that the Local Governing Body takes note of all relevant ODST policies and procedures in the strategic running of the school.
Main Duties:
- Minute taking at Local Governing Body, Finance, Premises and Personnel and Teaching and Learning committee meetings (up to six of each per year).
- Transcription and production of draft minutes for approval by the chair to the relevant committee within 7 working days of each meeting.
- Full administrative service; to include preparation and circulation of the agenda, collation and circulation of supporting papers within appropriate timescales and correspondence arising from governing body meetings.
- Monitoring governor attendance, identifying any governors who fail to meet attendance requirements and alerting the chair to the governing body.
- Monitoring of sub-committee membership and other documentation to support the administration of the governing body.
- Advising the governing body and Governor Services of terms of office nearing completion.
- Maintenance of the official minutes book.
- Maintenance of the Terms of Reference for each committee.
- Maintenance of the Register of Interests.
- Provision of advice and guidance on school regulations and instruments of government.
- Liaison with governing body members between meetings.
- Attendance at relevant briefings and training provided by ODST, the school and other bodies.
- Upholding any code of practice adopted by the governing body.
- Observing the rules of confidentiality.
- Supporting the ethos of Dr South’s as a church school.
- Commit to safeguarding and promoting the welfare of children and young people in line with the school’s Safeguarding and Child Protection Policy.
- Be publicly supportive of the school and its staff at all times, including on social media.

General responsibilities:
You will be expected to take appropriate responsibility for your own health, safety and welfare and the health and safety of pupils, visitors and work colleagues in accordance with the requirements of legislation and locally-adopted policies. This includes taking responsibility for raising concerns with the headteacher, office staff or a school governor as appropriate.
What the school offers its staff
Clerking is a paid, part-time and term-time role that supports the work of our Local Governing Bodies (LGB). The role involves preparing agendas and papers for LGB meetings, producing minutes and liaising with the Chair of the LGB and Headteacher. The role is home-based with the exception of attending approximately eighteen meetings a year.
