About the Role
Swindon Academy is seeking a highly organised and proactive Educational Visits Coordinator & Reception Manager to play a vital role in supporting both our enrichment offer and day-to-day operations.
This is a unique, dual-focused role where you will:
- Lead the planning, coordination, and compliance of all educational visits (UK and overseas), ensuring they are safe, inclusive, and aligned with our curriculum
- Provide professional leadership to our reception team, ensuring a welcoming, efficient and safeguarding-compliant front-of-house service
You will work closely with colleagues across the Academy, supporting staff in delivering high-quality educational experiences beyond the classroom while maintaining the highest standards of safety, compliance and financial oversight.
Key Responsibilities
- Coordinate and manage all educational visits, including approvals, bookings, and documentation using systems such as EVOLVE
- Ensure full compliance with safeguarding, health & safety, and statutory guidance
- Provide expert advice to staff on planning visits in line with OEAP and Trust guidance
- Manage trip finances, ensuring value for money and accurate reconciliation
- Promote inclusive access to trips, supporting disadvantaged pupils
- Line manage reception staff, overseeing rotas, performance and development
- Ensure professional, secure and safeguarding-compliant visitor management processes
- Highly organised, detail-focused and able to manage multiple priorities
- Strong communication and interpersonal skills
- Understanding of safeguarding and compliance responsibilities in an education setting
- Confidence managing systems, finances and administrative processes
- Experience of line managing staff (desirable)
- Commitment to inclusion and providing opportunities for all pupils
