The Role:

As the Events Assistant & Administrator, you will play a crucial role in fostering a professional and conducive learning environment. Your expert communication, administrative, and coordination skills will ensure that the Training and Development (Futures) Team can operate strategically and make a significant impact across the partnership. By providing seamless support, you will help create an atmosphere where both the team and attendees can thrive.

Event Assistance:

  • Support in organising and supporting events hosted by the Partnership.
  • Assist in creating event materials, including flyers, invitations, programs, and signage.
  • Coordinate event registrations and bookings, including attendee lists and communication.
  • Support on-site event management, ensuring smooth execution and attendee satisfaction.
  • Accurately log all delegate attendance for all training and events.

Front of House Duties:

  • Serve as the first point of contact for delegates and visitors, providing a warm and professional welcome.
  • Maintain consistent high standards of customer service.
  • Ensure the reception area and training spaces are tidy and presentable at all times.
  • Answer and direct phone calls, taking messages and handling inquiries.
  • Embody the professional space to enable learning to happen, ensuring attendees feel welcomed and supported.

Administrative Tasks:

  • Provide general administrative support to the Futures team, including scheduling meetings, minute taking, and arranging travel.
  • Manage room bookings and maintain the Partnership’s training and events master schedule.
  • Organise and maintain files, records, and databases.
  • Prepare and distribute event-related materials, such as agendas, presentations, and training materials.
  • Assist with data entry and reports.

We are looking for someone who:

  • Has experience in event coordination or a similar administrative role.
  • Is a skilled communicator with strong organisational and administrative abilities.
  • Is proficient in using a wide range of IT resources to support administration and efficiency.
  • Pays exceptional attention to detail and ensures accuracy in all tasks.
  • Can effectively prioritise and manage their workload independently.
