To work in the Shared Services team, assisting the CFO and Finance Officer to ensure that all financial information is correct and up to date, by carrying out financial processes, such as invoices or purchase orders, with a high degree of accuracy and in a timely manner. Carry out general administrative duties as required. | ||
Duties and Responsibilities | ||
Process invoices in accordance with policy and procedures. Process orders, including for the Shared Services Team, in according with procedures. Monitor the finance mailbox. Sort and action incoming communications in accordance with procedures. Be the contact for incoming phone calls - transfer calls/assist in dealing with queries, as required. Liaise with colleagues, school-based staff and/or suppliers, to resolve any purchase order/invoice discrepancies or queries. Ensure all transactions are properly authorised. Assist the Finance Officer in monitoring budgets, checking for missing or inaccurate transactions and reporting, as required. Assist the Finance Officer in maintaining an accurate and up to date contracts list. Set up new supplier / customer accounts on the finance system and maintain these as necessary. Chase aged debtors regarding unpaid invoices and related correspondence. Assist finance team colleagues and finance manager with preparation of records for the year end audit. Carry out general administrative work for Shared Services colleagues as required. Maintain a high degree of confidentiality and professionalism. At all times, operate within the framework of the Trust policies and procedures, ensuing compliance in all aspects. |
