Governance Clerk job summary
Main Responsibilities:
Meetings: the Clerk will:
work with the Chair and Headteacher before meetings to prepare the agenda
produce, collate and distribute the agenda and related papers at least seven days before the meeting
record the attendance at the meeting and take appropriate action regarding any absences
advise on governance legislation and procedural matters where necessary before, during and after the meeting
take notes of the meetings and prepare minutes that indicate who is responsible for any agreed action
record all decisions accurately and objectively with timescales for actions
chair that part of the meeting at which the Chair is elected, giving procedural advice concerning conduct of this and other elections
Membership: the Clerk will:
maintain a record of names, addresses and category of governors and their terms of office
ensure that the necessary checks, including appropriate DBS checks, are completed for new members.
issue a welcome and induction pack to newly appointed members and ensure a Mentor has been assigned
maintain copies of current terms of reference and membership of committees, working parties etc; keep records of nominated governors, eg the SEND governor, and of governors’ links with Faculties
advise the Chair when a member’s term of office is about to expire so that elections or appointments can be made in a timely manner
organise and coordinate the election of parent and staff governors
advise governors of relevant training courses and maintain a record of training undertaken
inform the Governing Body of any changes of membership
ensure that a register of pecuniary interests is maintained, reviewed annually and lodged within the school; ensure that Governors are asked to declare any interests at the start of all meetings
Liaise with school to ensure that the governance pages on the school website are updated as required
Advice and Information: the Clerk will:
provide guidance to ensure the Board works in compliance with the appropriate legal and regulatory framework and understands the potential consequences for non-compliance
advise on procedural issues and constitutional requirements
have access to appropriate legal advice, support and guidance
ensure that all new Governors have a copy of the Department for Education (DFE) A Guide to the law for School Governors and any other relevant information
Help to produce an annual Planner, which includes an annual calendar of meetings and the cycle of agenda items.
liaise as appropriate with the LA and alert Governors to relevant training opportunities
advise the Governing Body of those policies and other school documents that need to be approved by the Governing Body and maintain a file of these policies and documents
maintain records of relevant correspondence
maintain the governance communication portal
Audit & Risk Assurance Committee Meetings: the Clerk will:
work with the Chair before meetings to prepare the agenda

Professional Development: the Clerk will:
Undertake training in the role of clerk
Keep up-to-date with current educational developments and legislation affecting school governance.

support the clerking of the meetings of the staff and student disciplinary committees
