Role Overview:
The Receptionist at the Trust will be the face of the school, greeting students, parents, ad visitors with warmth and professionalism. The successful candidate will provide comprehensive administrative support for the school and will support day to day operations including attendance, post and deliveries.
Key Responsibilities:
Admin Duties:
To be responsible for daily, general personnel matters. This includes daily absence of staff,
staff leave, maternity, recruitment, medical checks, DBS clearance, contracts, supporting with safer recruitment and onboarding.
To support with the Single Central Record in accordance with Ofsted Requirements.
To ensure the SIMS in all schools are updated and well maintained
To support with arranging for new starters with badges, laptops etc.
Employee Lifecycle Management
Support with recruitment process, drafting job descriptions, adverts, managing shortlisting, interview coordination, DBS & safer recruitment checks.
Support and coordinate induction for all new staff and probation reviews.
Support with contractual changes, promotions, secondments, working adjustments.
Employee Relations and Performance Management
Provide advise on performance management processes including capability process.
Support with disciplinary, grievance, attendance and absence issues, working with the HR Managers to investigate, resolve and monitor issues if needed.
HR Systems, Data and Reporting
Maintain accurate personnel records and information systems.
Support with reports on HR metrics including turnover, absences, retention, diversity etc.
Support with payroll input/ liaise with payroll providers to ensure accuracy if needed.
Training & Development
Support managers in coordinating training, adjustments, offer guidance and support.
Providing the HR team with ad hoc responsibilities.
Person Specification:
- Possess good literacy skills - Educated to A Level and have at least 5 or more A*-C GCSES’s.
- CIPD L5 or equivalent is desirable.
- Proven ability to remain calm and solution-focused in challenging situations.
- Excellent organisational and time-management skills, with the ability to prioritize tasks and meet deadlines.
- Strong written and verbal communication skills, with attention to detail with the ability to maintain a flexible approach.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
- Confident and strong interpersonal skills, with the ability to build effective relationships with a diverse range of stakeholders.
- A proactive and flexible approach to work, with the ability to adapt to changing priorities and demands.
