Location: Harbour Learning Trust (Grimsby) Salary Scale:Scale 5 points 12-17, £29,542-£32,046Actual salary: £14,069 - £15,261Contract Type: Permanent, 20 hours per week, Term time plus 10 daysClosing Date: Friday 23rd October 2026Start Date: ASAPAs the HR & Office Administrator, you will provide essential day-to-day administrative support to the Executive and Central teams across human resources, compliance, safeguarding operations, and office coordination. You will maintain accurate systems, assist with meeting administration, and deliver proactive, professional service to managers, staff, and visitors.Key Responsibilities
- General Office & Document Support: Draft and format formal letters, maintain complex electronic calendars, schedule meetings, coordinate catering, manage inbox queries, and oversee front-of-house greeting and general office supplies.
- Meeting & Governance Administration: Take accurate minutes during meetings including HR reviews, capability procedures, or formal investigations ensuring action items and deadlines are distributed in a timely manner.
- Employee Life-cycle & On-boarding Support: Work with the Payroll and Recruitment Manager to coordinate on-boarding, issue starter/exit packs, schedule academy inductions, and monitor probation processes.
- Safeguarding & Pre-Employment Compliance: Assist central HR in completing required pre-employment clearance checks (DBS, Barred List, references, Right to Work) and updating Single Central Record (SCR) entries.
- HR Data & Absence Logging: Log central team employee sickness, leave, and attendance data to support absence trend monitoring, while maintaining accurate physical and electronic HR data systems.
- Educated to GCSE level (including Grade C/4 or above in English and Maths) or equivalent.
- Proven experience in general administrative work, document drafting, and complex calendar/diary management.
- Experience taking formal meeting notes or minute-taking.
- Experience maintaining confidential records and data management systems in line with GDPR guidelines.
- Excellent written and oral communication skills with high attention to detail.
- A flexible approach, strong work ethic, and high integrity with an ethically sound approach.

- Prior experience in an HR, payroll, or educational/multi-site environment.
- Basic understanding of safeguarding compliance, safer recruitment guidelines, and Single Central Record (SCR) maintenance.
- Proficiency in IT applications such as Google Workspace.
