Expectations within the role
- Enter data into the computer system and retrieve information as needed
- Manage office supply orders within the allocated budget, subject to supervisor approval
- Prepare typed documents, ensuring proper layout and presentation
- Perform routine banking tasks, including processing payments, issuing receipts, and recording transactions
- Handle documentation such as invoices, orders, timesheets, and claims by checking for accuracy, resolving basic issues, and logging details before forwarding for approval
- Respond to routine correspondence using standardised information. E.G. acknowledgements and requests for routine information
- Check daily school meal orders and communicate numbers to the kitchen
- Collate documents and enter information on our school asset register
- Answer phone calls and assist parents at the office hatch
- Contact parents regarding payments and children who have not been collected from school
- Perform general office duties as assigned by senior staff
- Support senior staff and the team with additional tasks as required
Training:
The training is delivered remotely via Microsoft Teams over 21 months (including the End Point Assessment), learners will attend regular reviews with their tutor where they will discuss learning and set new tasks, targets, and assignments for the next learning period, we kindly ask that the mentor is also available for these sessions to contribute to the learners’ progress. Please note, that this qualification is mainly self-study and research. Learners must accumulate a total of 348 hours over the full duration of their apprenticeship.

Responsibilities and task expectations:
Skilled in the use of multiple IT packages and systems relevant to the organisation in order to: write letters or emails, create proposals, perform financial processes, record and analyse data. Examples include MS Office or equivalent packages. Able to choose the most appropriate IT solution to suit the business problem. Able to update and review databases, record information and produce data analysis where required.
Produces accurate records and documents including: emails, letters, files, payments, reports and proposals. Makes recommendations for improvements and present solutions to management. Drafts correspondence, writes reports and able to review others' work. Maintains records and files, handles confidential information in compliance with the organisation's procedures. Coaches others in the processes required to complete these tasks.
Exercises proactivity and good judgement. Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way. Seeks advice of more experienced team members when appropriate.
Builds and maintains positive relationships within their own team and across the organisation. Demonstrates ability to influence and challenge appropriately. Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
Demonstrates good communication skills, whether face-to-face, on the telephone, in writing or on digital platforms. Uses the most appropriate channels to communicate effectively. Demonstrates agility and confidence in communications, carrying authority appropriately. Understands and applies social media solutions appropriately. Your training plan
At the end of the Apprenticeship, you will achieve the following:
- Level 3 in Business Administration Apprenticeship
- Any additional CPD that will occur in the workplace
- You will meet with your tutor virtually every 4 to 6 weeks, and you will be expected to record off-the-job training time each week. There is no day release required for this training. It is delivered as a remote qualification
- You will achieve Level 2 Functional Skills in maths and English (if required.)

JOB DESCRIPTION Job Title: Lunchtime Play leader
Responsible to: Behaviour for Learning Leader/Head of School.
Responsible for: Promoting positive play and encouraging friendships.
Main Job Purpose : Encourage and develop safe, purposeful and creative play during the lunchtime break which supports the aims and values of the school and enriches the pupils’ learning.
Main Responsibilities:
Work as part of the lunchtime team and specifically with other Play leaders.
Work with the Behaviour for Learning Leader and others to develop play awareness and opportunities.
Engage children in purposeful play and fitness activities.
Teach play skills and specific games and activities.
Help support children with their personal, social and emotional development needs.
Monitor the behaviour of children at all times in conjunction with the school’s policy on discipline and behaviour and Rights’ Respecting Agenda. Refer to a senior member of staff where necessary.
To be aware of and ensure that the school’s restorative practice policy is followed.
Supporting the school’s first aid procedures by reporting any and every accident/injury to the identified First Aider, who will record the incident.
Ensure that pupils do not leave school without permission.
Support the school’s security procedures by challenging anyone on the premises without a school visitor ID badge and ensuring that the school office is informed.
Support the school’s fire and emergency procedures by being familiar with the instructions for staff and children located in all the teaching areas and taking appropriate action should the need arise.
Retain the confidentiality of all aspects of school life.
Be aware of Health and Safety issues in accordance with safe practice and Health and Safety legislation.

Creativity and Innovation. Some scope for creativity and innovation in relation to play ideas and implementation.
Contacts and Relationships. There is a high level of interaction with individuals and groups of pupils. Relationships will be managed within agreed policies and procedures. There is some scope for dealing with issues where the outcome may not be straightforward.
Contacts with other school staff over general routine issues, and reporting on any incidents over the lunchtime period to the line manager.
Decisions. The post holder will be supervising the movement and conduct of pupils and be expected to intervene as appropriate to establish safe and proper behaviour.
The post holder will need to exercise discretion in referring problems to a senior member of staff.
Resources. The Play leader may use a number of educational toys and equipment.
The Play leader will be responsible for ensuring appropriate use of this equipment by pupils.
Any breakages must be reported to the line manager.
Work Environment. The post may require moderate physical effort.
The post holder may be required to work outside in moderately adverse conditions.
The post holder will be expected to deal with challenging behaviour from pupils and may be required to attend to pupils with sickness and/or toileting problems.
