Office Administrator and Extended Services Support job summary
The Office Administrator will work under the direction of the Executive Headteacher and the Head of School and is responsible for overseeing the school office and for highly efficient and effective daily administrative services. They will work closely with the headteacher on issues related to admissions and school communications, ensuring excellent confidentiality and compliance. They will also assist with the planning, development and improvement of support service provision to ensure the smoothest running of the school.
Responsibilities:
Generate orders and receiving goods.
Compile and edit pupil records.
Preparation of confidential reports, letter and minutes for the Headteacher.
Liaise with other departments and outside entities; site management, contractors, council.
Manage communications as directed, including phones and reception duties.
Update staff handbook, prospectus, school policies etc.
Set up and manage filing systems.
Ensure effective induction processes for new staff.
About you:
NVQ Level 3 Administration/ Finance (or equivalent)
Experience in a school office environment is desirable
Experience of systems such as, Bromcom, Word and Excel
Experience of clerical duties; email, excellent telephone manner
Excellent written skills with a high level of accuracy
Excellent attendance record
Enhanced DBS certificate on the Update Service (legal requirement)

Please note that the selected person will also be required to assist with the school's after-school provision on a Thursday and Friday afternoon. The aim of that role is to support the delivery of high-quality extended services after-school and ensuring a safe, engaging, and inclusive environment for pupils. The role involves supervising children, assisting with activities, promoting positive behaviour, and supporting the overall wellbeing of pupils outside the standard school day.
Responsibilities:
Supervise and engage pupils attending extended services after-school club.
Encourage positive behaviour in line with the school’s behaviour policy.
Support pupils’ social development through play, structured activities, and interaction.
Provide appropriate support for pupils with additional needs where required.
Help set up and clear away resources and equipment for activities.
Encourage participation and ensure activities are inclusive and age-appropriate.
Follow all safeguarding and child protection procedures.
Ensure the safety and wellbeing of pupils at all times.
Report any concerns about pupils to the designated safeguarding lead.
Administer basic first aid when required (if trained).
Supervise pupils during indoor and outdoor activities.
Assist with snack preparation and ensure food hygiene standards are followed.
Maintain appropriate staff-to-pupil ratios at all times.
About you:
Experience working with children in a school, childcare, or youth setting.
Ability to communicate effectively with children and adults.
Good teamwork and organisational skills.
Understanding of safeguarding and child protection responsibilities.
Ability to supervise groups of children safely.
Relevant childcare qualification (e.g., Level 2 or Level 3 in Childcare or Teaching Assistant).
First Aid qualification.
Experience in after-school or holiday club settings.
