Office Assistant job summary
Office Assistant required from September 2026
Monday to Friday 10am-2pm
Grade 4, SCP 7 - SCP 1, FTE £26,403 to £28,142 per annum (pending pay award)
We are seeking an organised, confident and proactive Office Assistant to join our busy Academy office. This varied role combines administrative responsibilities with a significant focus on financial administration, requiring excellent communication skills, attention to detail and the confidence to have professional conversations regarding payments and outstanding balances.
As an Office Assistant, you will play a key role in supporting the smooth day-to-day running of the Academy. Working as part of a friendly and fast-paced team, you will be responsible for managing a range of financial and administrative tasks while providing excellent customer service to parents, visitors, pupils and staff.
Key Responsibilities
- Managing and monitoring payments for educational trips and activities.
- Following up outstanding balances and chasing overdue payments in a professional, sensitive and effective manner.
- Booking educational visits and maintaining accurate records of trip payments.
- Administering lettings bookings, processing charges and monitoring incoming payments.
- Managing bookings for wraparound care, clubs and activities, including payment tracking and debt collection where required.
- Submitting utility meter readings and supporting other financial administration processes.
- Maintaining accurate records using Academy systems.
- Responding to parent enquiries by telephone, email and in person.
- Supporting reception and general office administration duties.
- Providing administrative support across the Academy as required.
The successful candidate will:
- Have previous administrative experience, ideally within an education or customer-facing environment.
- Be highly organised, efficient and able to manage multiple priorities simultaneously.
- Have excellent communication and interpersonal skills, with the confidence to discuss financial matters and outstanding payments professionally and sensitively.
- Be comfortable working in a busy office environment with frequent interruptions, visitors, telephone calls and parent enquiries.
- Possess a high degree of computer literacy, including Microsoft Word and Excel.
- Demonstrate excellent attention to detail and accuracy when handling financial records and payments.
- Be proactive, professional and able to work both independently and as part of a team.
- Build positive and respectful relationships with our children, families and wider Academy community.
Experience of ParentPay, Arbor and Evolve would be advantageous.
