Office Manager job summary
Are you an organised, confident and people‑focused professional looking for a rewarding role at the heart of a school community? We are seeking a School Office Manager to lead our busy school office at St Mary of Charity CofE (Aided) Primary School to ensure the smooth and efficient running of our administrative services.
As the first point of contact for parents, visitors and stakeholders, you will be an ambassador for our school—warm, professional and committed to our values. You will manage day‑to‑day office operations, oversee key administrative processes, support admissions and attendance, and lead a small administrative team. This is a varied and fast‑paced role that requires excellent communication, strong organisational skills and the ability to remain calm under pressure.
This post is for 37 hours per week, Monday to Friday, term time only plus one week (39 weeks).
Key responsibilities include:
- Leading the school office and line‑managing administrative staff
- Overseeing administrative systems, communication and record‑keeping
- Supporting admissions, attendance and new‑pupil processes
- Managing enquiries from parents, visitors and external agencies
- Coordinating events such as parents’ evenings and school trips
- Maintaining accurate data, reports and confidential records
- Regularly communicating and updating the Single Central Record (SCR) in line with statutory safeguarding requirements via the Trust central team
- Supporting financial and resource administration
- Ensuring the reception area provides a welcoming, professional environment
We are looking for someone who:
- Has strong administrative experience (school experience desirable but not essential)
- Is highly organised, proactive and able to multitask
- Communicates professionally with pupils, parents, staff and visitors
- Has excellent IT skills and attention to detail
- Can lead and support others in a positive way
- Understands the importance of confidentiality and safeguarding
- Is calm, friendly and solution‑focused
