Experience
Experience of development, management and operation of administrative systems.
Supervisory experience.
Qualifications/Training
NVQ 3 or equivalent qualification or experience in relevant discipline.
RSA 2/3 or equivalent qualification or experience in typing/ word processing.
Knowledge/Skills
Very good numeracy/literacy skills.
Full working knowledge of relevant polices/codes of practice and awareness of relevant legislation.
Very good ICT skills.
Ability to relate well to children and adults.
Ability to work constructively as part of a team, understanding academy roles and responsibilities and your own position within these.

Job description
To manage the front line/face of the academy to the local community and parents through professional management of the academy reception area. To provide confidential clerical and administrative support and diary management support to the Principal and members of the leadership team.
Support to Organisation
Manage the front reception area and receptionist duties to ensure a professional image and service is presented to all visitors both at the telephone and in person.
Deal personally with complex visitors/callers and be able to handle complainants directly and professionally without undue escalation.
Provide advice and guidance to staff, pupils and others.
May line manage one employee.
Support Administration
Undertake confidential and general typing, word-processing for the Principal and other members of the leadership team e.g. staff references and appraisal forms.
Undertake IT based tasks which may include:
o Receiving e-mails on behalf of the Principal/senior leadership team and filter for junk mail.
Maintaining diaries including an electronic diary system.
Organising and arranging meetings.
o Co-ordinating with attendees.
o Arranging for room/s.
o Organising refreshments.
o Co-ordinating arrivals.
o Ensuring agenda, minutes and other appropriate documentation is available.
May be required to manage and organise a significant event or administrative function in the academy.
Confidential Administration
Maintain the HR records including update of the academy’s Organisation Structure liaising with the Trust Central HR team on appointments, variations, DBS etc.
Be present at and take confidential minutes for sensitive meetings.
Undertake arrangements for staff appointments, including producing booklets to send out to applicants, arranging advertisements and interviews, requesting references, preparing interview programmes and updating information for governors’ appointments.
Undertake other confidential administration, e.g. Performance Management, NQTs.
Completion of reports and returns relating to staff.
Sort and distribute mail for the Principal.
To make telephone calls for the Principal, as requested, and take telephone messages in his/her absence.
Support for Organisation
Manage the Principal’s diary effectively and provide professional organisational support.
Be the first point of contact for parents etc providing a professional service/reception.
Maintain a relevant filing system.
To maintain a record sheet of leadership group weekly activities.
To maintain data protection records – including DBS information.
To attend staff meetings take notes, prepare and distribute these and place a copy on the staff room notice board.
Support for Resources
Operate office equipment e.g. photocopier, computer.
Order stationery items etc as necessary for the Principal and maintain own stationery supply.
Support to Academy
Promote and safeguard the welfare of children and young persons you come into contact with.
Be aware of and comply with policies and procedures relating to child protection, health, safety and security, confidentiality and data protection, reporting all concerns to an appropriate person
Be aware of, support and ensure equal opportunities for all
Contribute to the overall ethos/work/aims of the academy
Appreciate and support the role of other professionals
Attend and participate in relevant meetings as required
Participate in training and other learning activities and performance development as required
Assist with pupil needs as appropriate during the academy day.
