Purpose of the role: To ensure effective, efficient, and accurate financial and administrative operations, assisting and reporting to the Financial accountant and in liaison with the Director of Finance.

Main Responsibilities:

To be responsible for the day-to-day processing of accounts payable transactions to ensure that BPET's finances are maintained in an effective, up to date and accurate manner. Co-ordinating and completing administrative routines relating to orders, invoices, payments, income and the receipt of goods and services where appropriate.

The Finance Officer will be responsible for managing the school's financial operations, maintaining accurate records, and providing financial support to the school leadership team.

To ensure success, you should exhibit extensive experience in processing invoices and sound knowledge of accounting practices. An outstanding invoice processor will be someone with a keen eye for detail and accuracy.

Key Tasks:

  • Financial Management: Oversee the day-to-day financial operations of the trust, including budgeting, forecasting, and financial reporting.
  • Financial Analysis: Conduct financial analysis to identify trends, variances, and opportunities for cost savings or revenue generation.
  • Accounts Payable and Receivable: Manage the school's accounts payable and receivable processes, ensuring timely and accurate processing of invoices, payments, and receipts, ensuring supplier statements are checked and copy of invoices requested when needed.
  • Compliance and Audit: Ensure compliance with financial regulations, policies, and procedures, and support internal and external audits as required.
  • Raising payments following required authorisation having been gained and ensuring signed by relevant signatories, having regard to levels of delegation approved by the Board of Trustees
  • To be responsible for the investigating and resolving queries by liaising with suppliers, contractors, other schools, and organisations
  • Assisting in ensuring accurate VAT accounting is adhered to and process journal entries
  • Processing of Direct Debits and updating the recurring payment schedule
  • Recording of credit card transactions, assistance to staff using the credit card, reconciliation of statement
  • Maintaining listing of accounts payable and to assist in the establishment of a list of approved contractors and suppliers to ensure best value
  • Implementing invoicing procedures
  • Reconciling invoices to orders
  • Reviewing and processing invoices
  • Maintaining databases
  • Investigating differences
  • Managing supplier requests and queries and email accounts
  • Assisting with past due or denied invoices
  • Attendance to meetings as required.

  • To provide cover for other office staff as directed
  • To support the safeguarding of students and staff
  • To support the School and BPET distinctive vision and ethos.

Person Specification

  • Associate’s or bachelor’s degree in accounting
  • A minimum of 2 years’ experience in a similar role
  • Proficiency in accounting software, such as Planergy, Xero, Civica (or similar software)
  • Extensive experience in processing invoices
  • Strong knowledge of financial principles, budgeting, and financial reporting.
  • Proven experience in financial management, preferably in an educational or similar setting.
  • Knowledge of databases and recordkeeping
  • Proficiency in office software, such as Microsoft Excel, Word, and Outlook Express.
  • Advanced ability to collaborate, manage requests, answer queries, providing excellent customer service to staff and suppliers
  • Excellent organizational, communication and inter-personnel skills.
