Receptionist / Administrator job summary
Key Responsibilities
- Provide a professional and welcoming reception service, both in person, by telephone, and online, ensuring a positive experience for all visitors and supporting the smooth and efficient operation of the school.
- Manage incoming and outgoing telephone calls in a professional, confidential, and efficient manner, accurately relaying messages between sites and maintaining a high standard of customer service at all times.
- Act as the first point of contact for colleagues, teachers, senior leaders, parents, visitors, service users, and external agencies. Ensure all visitors are greeted appropriately, sign in and out correctly, and provide suitable identification in accordance with safeguarding procedures.
- Maintain a vigilant awareness of safeguarding responsibilities, recognising potential concerns and following school procedures for reporting and escalating issues appropriately.
- Provide effective communication support to the school community and external stakeholders through a range of platforms, including Teachers2Parents, ParentPay, and the school website. Produce professional correspondence, reports, school communications, and documentation to support key school processes, including end-of-term reports and data collection activities.
- Deliver comprehensive administrative support to meet operational requirements, including data entry, report preparation and analysis, filing, document management, records retrieval, and reprographics services.
- Support the management of pupil attendance, working closely with Family Support Workers and relevant staff to help maximise attendance and promote positive engagement with families.
- Maintain regular communication and collaboration with the Headteacher, Senior Leadership Team, wider school staff, and colleagues at the sixth form provision, The Bee Hive.
- Work effectively under general supervision while demonstrating initiative, prioritising workloads, managing assigned tasks independently, and responding flexibly to changing priorities.
- Contribute positively as a member of a small team, fostering a proactive, supportive, and collaborative working environment.
- Undertake all duties without supervisory responsibility, whilst maintaining accountability for the quality and accuracy of own work.
The post holder will possess excellent communication and organisational skills, a professional and customer-focused approach, strong administrative abilities, and a commitment to safeguarding and promoting the welfare of children and young people. They will be able to work independently and as part of a team, demonstrating initiative, discretion, and attention to detail in a busy school environment.
