Receptionist / Administrator / Office Apprentice job summary

We are seeking to appoint a friendly, organised and reliable Receptionist / Administrator / Office Apprentice (GAT 4) to join our busy school office.

This is an excellent opportunity for someone who enjoys working with people, is confident in a front-facing role, and is keen to develop their skills within a supportive school environment.

About the role

As the first point of contact for parents, carers and visitors, you will play a vital role in creating a welcoming and professional environment for our school community.

You will support the day-to-day running of the school office, with a focus on attendance, communication and administrative systems, and act as a key link for health and safety processes.

The hours are 37 a week, Monday to Thursday 8:30am to 4:30pm and Friday 8.:00am to 4:00pm (half an hour for lunch)

Key responsibilities

  • Act as the first point of contact for parents, carers and visitors, in person and on the telephone
  • Provide a warm, professional and helpful reception service
  • Manage and monitor attendance, including first-day response calls
  • Complete and maintain registers and pupil records accurately
  • Act as a Health and Safety contact, supporting reporting, record-keeping and communication with relevant teams
  • Respond to parent queries and direct enquiries appropriately
  • Support general administrative duties to ensure smooth office operations

What we are looking for

  • A confident and approachable individual with strong customer service skills
  • Excellent organisational skills and attention to detail
  • Clear and professional communication skills
  • The ability to remain calm and professional in a busy environment
  • A willingness to learn and develop; full training will be provided
  • Basic IT skills; experience of Arbor would be an advantage but is not essential
