Receptionist and Administration Assistant job summary

About Us:

North Brent School, part of the Wembley Multi-Academy Trust, is a vibrant institution dedicated to providing high-quality education and fostering a supportive community for our students and staff. We are seeking a highly organised Receptionist to support our School.

Role Overview:

The Receptionist at the Trust will be the face of the school, greeting students, parents, ad visitors with warmth and professionalism. The successful candidate will provide comprehensive administrative support for the school and will support day to day operations including attendance, post and deliveries.

Key Responsibilities:

Reception Duties:

  • Keep reception area clean & tidy, ensuring an efficient and well-organized environment.
  • Receive visitors and answer any queries/take messages
  • Keeping a clear concise record of all telephone calls received and to whom they have been directed
  • Dealing with faulty lines/switchboard
  • Sign in visitors/create passes
  • Sort and distribute incoming post
  • Prepare Outgoing post/parcels(Franking/Weighing)

Administrative Support:

  • Book/confirm meetings
  • Book Taxis
  • Prepare confirmation of attendance letters
  • UPN Enquiries
  • Maintain In-Year 7-11 Applications
  • Keeping a clear concise record of all telephone calls received and to whom they have been directed.
  • Ensure Valid DBS in place for all visitors
  • Managing pupil absence including liaising with Heads of Year, parents and outside agencies
  • Ensure that attendance records are up-to-date including all interventions and meetings.
  • Preparing weekly reports on students’ lateness and contacting parents regarding this
  • Generating the appropriate letters home
  • Prepare attendance reports for external agencies
  • Any other duties needed by the school.

Communication:

  • Act as the first point of contact for the Trust, handling inquiries with professionalism.
  • Liaise with internal and external stakeholders, including staff, parents, governors, and external agencies.
  • Receive and welcome visitors professionally, providing refreshments as required.

Other Duties:

  • Manage office supplies and equipment, coordinating maintenance and repairs as needed.
  • Manage petty cash, ensuring accurate records and reporting.
  • Perform additional duties as requested by the Executive Headteacher/Director,

Person Specification:

  • Possess good literacy skills - Educated to A Level and have at least 5 or more A*-C GCSES’s.
  • Experience of operating a switchboard in a busy environment - desirable.
  • Proven ability to remain calm and solution-focused in challenging situations.
  • Excellent organisational and time-management skills, with the ability to prioritize tasks and meet deadlines.
  • Strong written and verbal communication skills, with attention to detail with the ability to maintain a flexible approach.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Confident and strong interpersonal skills, with the ability to build effective relationships with a diverse range of stakeholders.
  • A proactive and flexible approach to work, with the ability to adapt to changing priorities and demands.
