Receptionist job summary

We are seeking a highly organised, proactive, and friendly Receptionist to be the first point of contact for our school community. This pivotal role requires an individual who can manage a busy reception area efficiently, providing administrative support and ensuring a positive and professional impression for all visitors, parents, students, and staff. The successful candidate will play a crucial part in the smooth daily operation of the school.

Main Responsibilities:

  • Front Desk Management:

    • Greeting and welcoming all visitors, parents, and students in a professional and courteous manner.

    • Managing visitor sign-in/out procedures, ensuring compliance with safeguarding policies.

    • Handling incoming and outgoing mail and deliveries.

  • Communication:

    • Answering and directing incoming telephone calls promptly and efficiently.

    • Responding to general enquiries via phone, email, and in person, providing accurate information or redirecting as appropriate.

    • Liaising effectively with staff, parents, external agencies, and the wider community.

    • Administrative Support:

      • Assisting with administrative tasks such as photocopying, scanning, filing, and data entry.

      • Supporting with general office duties as required.

    • Safeguarding and Welfare:

      • Ensuring the security of the reception area and controlling access to the school premises.

      • Acting as a point of contact for pupil welfare matters, directing to appropriate staff where necessary (e.g., first aid, late arrivals, early collections).

      • Maintaining confidentiality and sensitivity in all interactions and data handling.
