Reprographic and Admin Assistant

37 hours per week, Term-time only

Immediate Start

We are looking for a professional and self-motivated individual with good IT and Office skills, who is an excellent communicator and flexible. Working as part of the Reception Administration team, candidates should be able to work proactively and independently to ensure the efficient operation of the Academy campus.

You will not only be the first point of contact for prospective families and visitors to the Academy, creating a vital first impression, but also responsible for the general administrative duties required in the reception area and carrying out Reprographic tasks, such as general printing, booklet making, laminating etc for teaching staff.

Principal Duties and Responsibilities

Reception:

  • Greeting Academy visitors, signing them in and issuing/collecting visitor badges. Ensuring that all visitors have been checked regarding Safeguarding procedures.

  • Answering and forwarding incoming telephone calls and emails. Handling general enquiries with a positive and professional manner.

  • Assisting with student, staff and visitor queries.

  • Contacting parents/carers when required.

  • Monitoring Lost Property and reuniting with rightful owners.

  • Dealing with incoming post and ensuring it is delivered to staff pigeon holes in a timely fashion. All/any parcel deliveries are signed for and liaising with site staff for their delivery to relevant depts.

  • Dealing with outgoing post either via Franking machine or via the village Post Office for larger letters or recorded delivery letters.

  • Assisting with any/all administrative tasks as directed by the Office Manager

Reprographics:

  • Prioritising and managing the reprographic requests liaising with relevant staff as needed.

  • Producing high quality notices, signs, posters and booklets which may include laminating and binding etc.

  • Troubleshooting errors and addressing basic issues to ensure that the photocopiers remain operational.

  • Liaising with the relevant service departments (photocopier suppliers) to ensure appropriate and timely maintenance and repairs of the Reprographics machinery, as required.

  • Assisting with (via Finance Dept) maintaining and managing all associated stock such as copier paper, card, laminating pouches, toners and copier staples.
