School Office Manager job summary

Our small, friendly village primary school sits at the heart of its community, and the smooth running of our school office is vital to ensuring that pupils, families and staff receive the very best support every day. We are seeking an experienced, highly organised Office Manager who will lead our administrative function with professionalism, warmth and efficiency.

Working closely with the Headteacher and wider leadership team, our Office Manager will oversee all aspects of school administration-from daily operations and compliance to supporting safeguarding processes and managing key school systems. In a one‑form‑entry setting, this is a hands‑on role where your impact will be visible, valued and central to the life of the school.

This position is ideal for someone who thrives in a varied role, enjoys building strong relationships, and takes pride in creating systems that help a school community flourish.

Key aspects of the role will include:

  • Maintain and develop school administrative procedures in line with statutory and Local Authority guidelines
  • Lead the day‑to‑day running of the school office, ensuring a welcoming and efficient front‑of‑house service
  • Manage pupil data, attendance processes and statutory returns
  • Support the School Business Manager with financial transactions
  • Prepare and monitor risk assessments for school trips and activities
  • Support safeguarding administration, ensuring accurate and confidential record‑keeping
  • Oversee office resources, procurement and contracts
  • Ensure effective use of the school’s MIS and administrative systems
  • Provide high‑quality administrative support to the Headteacher and staffing
  • Line manage administrative staff and contribute to wider school planning

We are seeking an Office Manager with:

  • Previous experience working in a school office
  • GCSE A*-C or equivalent in English and Maths
  • Experience in school financial processes
  • Experience in managing administrative systems and processes
  • Strong MS Office skills including Excel, Word, Powerpoint etc.
  • Strong organisational skills and the ability to prioritise in a busy school environment
  • Excellent communication skills to all key stakeholders
  • Competence with MIS systems including (eg Arbor, Sims)
  • A calm, professional manner and a commitment to safeguarding and promoting the welfare of children
