School Office Receptionist & Midday Supervision job summary
St. Augustine’s Catholic Primary School are looking to appoint a committed, talented and enthusiastic office receptionist. The role requires general office duties, greeting visitors and taking phone calls. In addition, the post is linked to a Midday Supervision role (see separate roles and responsibilities).
Main requirements / responsibilities of the role:
- To ensure that all visitors and callers to the school are courteously and correctly received and to deal sensitively with all queries, whether by telephone, email or in person
- To receive and relay promptly any telephone, email or other messages, dealing initially with all enquiries. To liaise, as required, with Governors, parents and local authority personnel, etc.
- To collate daily dinner registers and liaise with the school kitchen staff.
- To record pupil absences and ensure class registers are completed fully each day.
- To undertake general administrative and clerical duties.
- Support the role of the Head Teacher and Office team.
Duties and responsibilities
- Support the role of the Head Teacher and Office team.
- To ensure that all visitors and callers to the school are courteously and correctly received and to deal sensitively with all situations whether by telephone, email or in person.
- To receive and relay promptly any telephone, email or other messages, dealing initially with all enquiries.
- To assist the Head Teacher, including their diary management and general admin, dealing with enquiries as appropriate and associated receptionist duties. Provide such support to other staff as determined by the Head Teacher.
- To word process letters, reports, memoranda and other documents using appropriate equipment, including ICT, office management systems. This will include material of a confidential nature.
- Use ICT systems to maintain an effective database to include information on pupils. Operate other ICT packages as necessary.
- To undertake general administrative and clerical duties which could include:
- Maintaining and monitoring pupil records with particular reference to pupil absence
- School meals
- School trips and travel arrangements
- At the discretion of the Head Teacher, to open and distribute incoming mail. Despatch outgoing mail and assist with general postal arrangements.
- To monitor the school office email account, responding to or forwarding emails as appropriate.
- To maintain an efficient filing system and to undertake reprographic duties and associated tasks.
- To carry out medical procedures / administer medicine and inhalers where required and to carry out First Aid in cases of accidents / injuries and look after sick staff / pupils, while arrangements are made
- To carry out associated administrative work, including contact with parents and completion of accident or medical forms
- To undertake any other duties that are within the grade and scope of the post as determined by the Head Teacher. These additional duties may include, when essential, appropriate tasks normally undertaken by other support staff.
