Key Responsibilities
Reception Duties
- Welcome visitors and manage front-of-house responsibilities.
- Provide a professional and friendly first point of contact for all enquiries.
Clerical
- Produce newsletters, letters to parents, and email communications.
- Manage the school’s main office email account.
- Carry out administrative tasks for the Senior Leadership Team (SLT).
- Manage the school diary in collaboration with the Deputy Headteacher (DHT).
- Use Microsoft Teams to ensure effective sharing of information with staff.
Arbor Management (MIS)
- Ensure all pupil records are accurately inputted into Arbor.
- Process pupil starters and leavers using Common Transfer Files (CTF).
- Manage pupil data in accordance with GDPR regulations.
- Liaise with parents to update contact information and maintain accurate records.
- Regularly update Arbor using correct processes and protocols.
- Manage the annual collection and input of pupil data sheets.
- Collaborate with the Headteacher to ensure timely and accurate submission of the school census.
- Check and update Free School Meal (FSM) eligibility.
Website & Stakeholder Communication
- Manage and update information on the school website and social media platforms.
- Maintain the school story on Class Dojo.
- Ensure promotional adverts and school marketing materials are current and consistently branded.
- Liaise with the PTA regarding approved communications and events.
- Ensure the website is compliant with DfE requirements, including statutory policies, reports, and information, in liaison with the DHT and Trustees/SLT.
Pupil Welfare
- Provide first aid and be on duty during break and lunchtimes.
- Liaise with parents regarding pupil welfare and health needs.
Medical
- Undertake First Aid at Work training.
- Manage the administration and safe storage of medicines.
- Maintain and update pupils’ Health and Care Plans.
- Liaise with medical professionals, parents, and staff regarding pupils with acute or significant medical conditions.
- Manage the storage of controlled drugs, including paperwork and medication replenishment with parents.
- Upload all Health Care Plans to Arbor.
- Monitor and replenish first aid boxes and emergency kits.
- Record and report accidents using the appropriate system.
- Monitor medication expiry dates and ensure all medicines are in date.
Medication Records
- Maintain a register of medication held in school, including expiry dates.
- Maintain individual pupil records for medication administered.
- Liaise with parents regarding medication needs and updates.
Finance Administration
- Place orders with suppliers once procurement processes are completed and paperwork is received from the Finance Officer.
- Check goods received and delivery notes, and pass them to the Finance Office.
- Monitor stock levels of paper, toner, and consumables, and complete purchase orders as needed.
Internal Communication
- Ensure communication between the office and SLT is shared with staff via Microsoft Teams.
- Share messages with class teachers or SLT using Teams.
- Update the Teams calendar weekly and share highlights with staff.
- Share daily updates of key events and meetings with the Headteacher, DHT, or other SLT members.
- Collaborate with the HT/DHT to share meeting minutes, policies, and core information via OneNote.
General Duties
- Provide lunch cover as required.
- Actively participate in the school’s professional development programme, Growing Great Staff.
