SEND Administrator job summary
Duties and Responsibilities:
Administrative Support & Record Keeping
- Maintain and update the SEND Register.
- Manage and organise student SEND files (physical and electronic).
- Update and maintain pupil passports, IEPs (Individual Education Plans), and MSPs (My Support Plans).
- Collate staff feedback on pupils to assist with updating support plans.
- Complete paperwork in preparation for EHCP (Education, Health and Care Plan) Annual Reviews.
- Support the SENCO in submitting EHCNA (Education, Health and Care Needs Assessment) requests using the Bradford Professionals Portal.
- Carry out general administrative tasks including filing, printing, photocopying, and scanning.
- Order, monitor, and manage SEND-related stock and resources.
Communication and Coordination
- Liaise with external professionals and agencies involved in SEND provision.
- Track referrals to external agencies and maintain up-to-date records.
- Communicate effectively with parents/carers regarding SEND matters.
- Arrange, coordinate, and minute meetings such as Annual Reviews, IEP meetings, and external professional consultations.
- Act as the first point of contact for parents and visitors to the SEND department.
Support for Pupils
- Meet with pupils on the SEND register to gather pupil voice for reviews and plans.
- Support the development and implementation of pupil movement plans for those with mobility needs.
- Assist pupils with hearing and visual impairments in managing their equipment and learning resources.
- Support identified students (e.g., A21) under the direction of the SENCO.
Data & Systems Management
- Use school information systems, referral checklists, and provision mapping software to track and manage provision.
- Create and monitor interventions using tools such as Provision Maps.
- Report issues related to IT systems used in the SEND department.
- Demonstrate proficiency in using digital tools such as Microsoft 365, Galaxkey, and relevant SEN software.
