Senior Administrator job summary
The Swan School is seeking a proactive and experienced Senior Administrator to join our friendly, front-of-house team. This is a fantastic opportunity to contribute directly to our students' success and overall school experience. Job Title: Senior Administrator
Grade: Grade 6
Location: The Swan School, Oxford
Hours: Flexible up to 4 days (29.6 hours per week)
Working Pattern: Term-Time Only (39 working weeks per year, this includes INSET days)
Salary: Grade 6 scale
Reporting To: Office Manager
Disclosure: Enhanced DBS required prior to start
As a key member of the administration team, you will provide essential general clerical, organisational, and financial support, including:
Front-of-House: Undertaking reception duties, confidently liaising with students, parents/carers, staff, and the public via email, telephone, and in person.
Organisational Hub: Coordinating school visits, events, and meetings, including taking notes.
Data & Reporting: Analysing information, running reports, and processing forms/returns accurately using advanced ICT packages.
Welfare Support: Assisting with pupil first aid and welfare duties, occasionally looking after sick pupils, and liaising appropriately with parents/staff.
Teamwork: Providing support to other administrators and teams during peak workload periods and contributing to the development of administrative procedures and systems.
Financial Admin: Undertaking basic financial administration tasks, such as processing orders.
We are looking for a highly motivated, confident, and reflective practitioner who:
Is confident and articulate when speaking with students, parents, staff, and external agencies.
Is a highly motivated team player who enjoys working collaboratively in a busy, challenging environment.
Is confident with IT and proficient in advanced ICT packages (e.g., word-processing, spreadsheets).
Is a creative thinker keen to learn new skills and try new approaches to achieve the best possible outcomes for our students.
Understands the importance of confidentiality, safeguarding, and data protection in a school setting.
