Senior Administrator job summary

This is an important role to support the Academy Operations Manager across the Academy. The role holder will be responsible for leading non-educational functions of the Academy including Administration, Finance and Compliance, in accordance with Trust policy and procedures. You will ensure the administrative and organisational activities within the academy are effectively and efficiently maintained and provide excellent service to the overall running of the academy. This will include, but not exhaustive, the following:

To provide administrative support to the Academy team, dealing with confidential and sensitive issues in a timely, professional and competent manner.

To line manage the Academy Administrator team.

To undertake a range of financial procedures, including placing orders, invoicing, preparation of cheques, banking cash, issuing receipts, reconciling petty cash and dealing with supplier queries.

To undertake the monitoring and completion of monthly financial administrative tasks in line with agreed procedures.

To ensure the daily compliance monitoring and ongoing maintenance of the Academy SCR documents (Single Central Record) in line with the agreed process for vetting and safeguarding of all staff and visitors on site.

To undertake analysis and interpretation of data, and produce detailed reports and complex information as requested by Principal/Academy Operations Manager

To be responsible for the completion and submission of forms, returns etc., including those to external agencies.

To monitor and manage the provision of FSM

Ensure trips and activities are supported and the provision of all paperwork, letters and funds are well organised and communicated

To undertake HR administration, such as processing DBS checks.

Manage the administration of Academy Lettings and other uses of the Academy site.

To support the Principal and support the wider staff team as appropriate.

To support the Principal and SLT with coordinating events including, but not limited to, Opening Evenings, Parents Evenings and Music Concerts etc.

To respond to reports of accidents and injuries and escalate legal claims where appropriate.

To provide a ‘keyboard resource’ including: typing letters, building and maintaining records and preparing files to support the staff team to meet internal and external deadlines as required.

To undertake general administration duties including photocopying, scanning and filing and front of house reception presence.

To support with the coordination of often confidential meetings as agreed with the Academy Operations Manager.

To communicate with Parents and Carers verbally and via written letters, e-mails and ‘Bromcom’ messages.

To ensure all admissions to the Academy are managed through SAM and the school MIS, liaising with all stakeholders and preparing reports as required

To liaise with the Principal, Academy Operations Manager, SLT, Staff, and Head Office teams to communicate and bring matters to resolution.

To ensure stock and checks of the first aid provisions in the academy as required by the AOM

To issue medication and be first aid trained to support the first aid team

Collate and print information from internal and external stakeholders.

Produce minutes in a timely manner.

Ensure that room set-up and hospitality is provided as required.

To work with the Academy Operations Manager to implement an organised a logical filing system for reports, internal communications, minutes of meetings and parental letters.

To proactively prioritise correspondence and disseminate information to the relevant parties as appropriate.

To process internal and external post.

To undertake any other duties commensurate with this role as required, in particular supporting all levels of leadership with operational work.

The occasional flexibility to travel across the UK.

To safeguard the integrity of all Trust data by ensuring the accurate input and audit, as required, of information being inputted to DRET systems.

This is a permanent post, 15 hours per week (flexible working hours), 41 weeks per year.

Who we are looking for

We are looking for someone who has previous experience using Microsoft Office and able to produce, create and edit documents using Word, Excel, Powerpoint and Outlook. You must have experience of working in a school and administration team. Excellent interpersonal skills with the ability to work across a range of challenging issues and people including parents/carers, staff and members of the wider community. Experience of managing cash and recording of funds with an understanding of budgets.

King Edward VI Academy is a mixed, mainstream, secondary school in Spilsby, Lincolnshire. It caters to students aged 11 to 18 with a PAN of 520 students. Places are in high demand at our popular Academy leading to us being consistently well oversubscribed in every year group.

King Edward VI Academy opened in September 2012 and is sponsored by the David Ross Education Trust. It started as two separate schools, the King Edward VI Grammar School, which opened in 1550, and Sir John Franklin Secondary Modern School, which opened in 1954. The schools were combined in 1991 and began as a Humanities College and is a co-educational bi-lateral secondary school with a sixth form.
