2. JOB DESCRIPTION
Site Manager
Purpose of the RoleTo ensure the school site, buildings and grounds are safe, secure, compliant, well-maintained and welcoming. The Site Manager is responsible for day-to-day premises management, minor maintenance and repairs, statutory compliance checks, site security, contractor oversight and accurate record keeping.
The role combines trusted autonomy with clear systems, checklists and accountability.
Key Responsibilities
1. Statutory Compliance & Health and Safety
Carry out and record statutory compliance checks, including fire safety, emergency lighting, water hygiene/legionella, asbestos monitoring, playground inspections and COSHH.
Maintain accurate and up-to-date compliance records using digital systems.
Escalate concerns, defects or risks promptly to the School Business Manager or Headteacher.
Act as a Fire Marshal and support evacuation drills and fire safety procedures.
2. Site Security and Access
Open and close the school site each day and maintain site security at all times.
Act as a key holder and respond to rare, shared out-of-hours emergencies when required.
Monitor visitor and contractor access to ensure safeguarding and security procedures are followed.
Ensure boundaries, gates and access points remain secure.
3. Maintenance and Minor Works
Undertake routine maintenance, minor repairs and basic handyman tasks across the site.
Identify, report and log larger maintenance issues requiring specialist contractors.
Maintain tools, equipment and cleaning machinery safely and appropriately.
Support ongoing improvements to the school environment.
4. Contractor and Facilities Management
Coordinate contractor visits, ensuring RAMS, DBS checks and permits are in place where required.
Monitor works on site to ensure safety, safeguarding and quality standards are met.
Challenge unsafe practice confidently and professionally, including where this may feel uncomfortable.
5. Cleaning and Hygiene Oversight
Work alongside cleaning staff/contractors to ensure agreed standards are met.
Ensure cleaning materials are ordered, stored and used safely in line with COSHH requirements.
6. Administration and Systems
Complete required checklists, logs and records accurately and on time.
Use school digital systems confidently to manage compliance, defect reporting and documentation.
Maintain inventories and support audits, inspections and reviews.
7. Safeguarding
Uphold safeguarding at all times and report any concerns immediately in line with school procedures.
Ensure all site practices support a safe environment for children and staff.
3. PERSON SPECIFICATION
Essential Criteria
Experience
Experience in site management, caretaking, facilities or building maintenance.
Experience working within health and safety or compliance frameworks.
Experience liaising with contractors or external service providers.
Skills and Knowledge
Good understanding of health and safety and safeguarding responsibilities.
Ability to complete compliance checks accurately and maintain clear records.
Confident use of computers and digital systems for logging and record keeping.
Ability to prioritise tasks and work independently within agreed systems.
Willingness to challenge unsafe practice when necessary.
Personal Qualities
Reliable and punctual, with a strong sense of responsibility.
Calm, organised and methodical, especially under pressure.
Clear and professional communicator.
Takes pride in maintaining high standards.
Flexible and solution-focused.
Desirable (not essential) Criteria
Previous experience working in a school environment.
Relevant training (or willingness to undertake training) in:
Fire safety / Fire Marshal
Legionella awareness
Asbestos awareness
Manual handling
First Aid
Basic understanding of heating, electrical or building systems.
Experience supporting audits or inspections.
Red Lines (Not Suitable for the Role)
Poor reliability or attendance.
Weak communication or reluctance to follow systems.
Resistance to procedures or record keeping.
Inability to work calmly and professionally in a school environment.
What the school offers its staff
Allenby Primary School is a vibrant, inclusive one-form-entry primary school with a strong community ethos and high expectations for care, safety and standards. We are seeking a proactive, reliable and organised Site Manager to take responsibility for the day-to-day running of our school site.
This role builds on a traditional caretaking function but places greater emphasis on facilities management, minor site works, statutory compliance and record keeping. It is ideal for someone who takes pride in high standards, works calmly and methodically, and is confident managing a school site within clear systems and expectations.
This is a permanent, full-time, full-year role. Early morning starts are essential, with occasional late evenings for school events. Out-of-hours emergency call-outs are rare and shared.
You will work closely with the School Business Manager as your day-to-day line manager, with support from the Headteacher, and will be trusted to take ownership of site matters while following agreed systems and checklists.
Previous experience in a school setting is welcome but not essential. We are keen to hear from candidates with facilities, estates or site management experience who are interested in working in a school environment.
