Site Manager job summary
Purpose of Role
This person will also play a crucial role in our School’s Health & Safety Team, to assist with general varied duties throughout the site, to liaise with external agencies and contractors, and to lead on the school as a positive environment.
The successful candidate must be able to complete minor DIY repairs and have general maintenance skills and knowledge. The candidate must be well organised and able to use his/her own initiative, and provide advice and guidance for the Principal as required, on building development and maintenance.
Main duties and responsibilities:
Ensure the oversight of building development and maintain good order and maintenance of the school premises
Monitor and respond in a timely manner to tickets raised by staff via the site work request log on the landing page
Ensuring building statutory compliance.
Planning and investigation of new works, as required by the Principal.
Provide advice over new works to the Principal.
Project management of new works.
Development and management of new/existing works to maximise building usage and generate income.
Liaising with external agents over new/existing works or building developments.
Responsible for supporting the Principal and in ensuring and promoting the security, maintenance, caretaking, cleaning standards and general wellbeing of the school
Ensure that the school is open and closed at the designated time and check that all is in order.
Identify and maintain a record of repairs and report appropriate information to the Principal/SLT.
Work in cooperation with the finance manager concerning the relevant budget for repairs, cleaning and site and grounds maintenance.
Arrange larger repairs and obtain quotes from contractors.
Ensuring that all the equipment and components installed are maintained in accordance with manufacturer’s instructions and in line with any legislative and statutory requirements.
Update and follow relevant policy documents, registers and manuals.
Clean an agreed area of the school and additional cleaning tasks during the school holidays.
Monitor the consumption of gas, electricity and water through regular meter readings.
Identify/cost and maintain the stock of utilities/resources (e.g., soap, towels, toilet paper etc) and be responsible for ordering these within the agreed budget.
Maintain the grounds in a clean and tidy condition, including sweeping/cleaning litter from car parks, paths, playground areas, cutting back plant growth.
Undertake agreed minor repairs, improvements and minor decorations of the school site.
Identify and purchase in liaison with the finance manager, necessary furniture, fittings equipment and tools.
Maintain accurate records of caretaking and cleaning tools and equipment and maintain online jobs list.
Supervise the Assistant Site Manager, and Cleaning Supervisor.
Contractors
Be the primary contact for contractors, ensuring that Risk Assessments have been completed, supervising their activity and signing off completed work
Employ contractors for works that cannot be done in-house, ensuring that the Academy procedures for procurement, safeguarding and risk assessment are followed
Monitor the work of any contractors whilst they are on site, ensuring that it is carried out to the required standard
Safety and security of the school premises and its contents
Support the Principal in ensuring the safety of the site and the people on it at all times.
Ensure that the buildings are secured after use, both internally and externally.
This includes checking that all valuable equipment is in an alarmed area.
Monitor CCTV.
Responsible for maintaining records of any hazardous materials on the school site and ensuring that Health and Safety guidelines are followed.
Provide safe access to school in cold weather conditions.
Supervision of cleaning staff
Supervise and monitor cleaning staff to ensure that the buildings are cleaned to a high standard
Liaison and monitoring with external contractors (including school contracts e.g., grounds maintenance)
To give access to maintenance contractors and monitor and ensure safe working practices, particularly regarding safe working practices
Ensure that contractors adhere to the Trust’s contractor systems
Monitor and ensure the quality of the work being done, alerting senior staff or Trust as appropriate when problem occurs
Site Security and CCTV
Acting as the main key holder, taking responsibility for routine and non- routine access and egress to the site and the security of the site from the start to the end of the school day
Responsible for ensuring the site is unlocked and locked at the agreed times, and that the intruder alarm, CCTV, access control system and fire alarms are set, monitored, inspected, maintained and tested in line with the school’s Health and Safety and CCTV policies
General duties
To arrange cover with the School Manager when on annual/sick leave.
To assist public relations by responding to parents and site visitors in a helpful manner.
Being a visible presence when on duty for open evenings, concerts etc to help ensure staff/student and parent safety.
To assist staff in the maintenance of good order by encouraging students to behave responsibly in school and develop appropriate relationships with students
To maintain good relationships with the Principal, teachers, support staff, students, parents and governors.
Ensuring that first line maintenance/ first fix response is delivered following malicious or accidental damage.
Preparing (setting up rooms, furniture and equipment) the site for major events including Open Evenings, Events, Celebrations and Induction Evenings as required.
To undertake such other associated duties as may be required by the Principal/SLT, designated nominee.
Inform the Principal of redundant furniture and equipment, and arrange disposal as directed.
To read, understand and adhere to the school and Trust’s rules and policies relating to equal opportunities, health and safety, child protection and dealing with students, staff and parents.
Acting as budget holder for those areas of delegated responsibility such as repairs and maintenance, health safety, furniture and fittings
Ensure expenditure is within budget limits, that all procurement and purchasing is in accordance with best value guidelines, the school’s procurement policy and that all necessary procedures are followed before any commitments are made.
Responsibility for all correspondence, documentation, sign off on agreements/ contracts entered into on behalf of the school and approval of invoices related to your budgets in line with school practices and policies.
Professional Relationships
Develop productive relationships with others when managing the site.
Consulting and communicating effectively with the school’s stakeholders (including children, relevant colleagues, line manager, parents and Governors).
Ensuring that working relationships within the site team are productive and positive to ensure that the school’s needs are met.
Seeking line manager support where necessary and identifying where improvements can be made in managing these relationships.
Working Times during school term - 37 hours a week
With prior agreement between the Principal the above hours may be varied to suit the needs of the school. Hours for school to close during the holidays are agreed with the Principal to suit the needs of the school and any scheduled building works.
School lettings
Assist in the preparation of the school for use by hirers. This will include the movement of furniture and equipment as requested. A member of the site team may need to remain in the school building or grounds for the duration of the letting.
Health and Safety
All work must be carried out in accordance with the Trust’s Health and Safety Policy.
