Student Services Administrator and Medical Lead job summary
Main duties and responsibilities:
Initiate, build and maintain good working relationships with staff, students, parents and carers.
Adopt a positive, calm and professional attitude at all times.
Manage and co-ordinate uniform stocks for lending and pre-loved uniform.
Maintain a welcoming, tidy and efficient student services area.
Work effectively as part of the administration team, supporting colleagues and participating in relevant training and professional development.
Prioritise and manage workload to meet required deadlines while focusing on the needs of the school as a whole.
Provide student support with general queries including lost property, online accounts and balances, trips, timetables, confiscated items, etc.
Conduct student first aid/welfare duties, looking after sick students, liaising with parents, carers, staff etc.
Manage first aid including those requiring specialist support incl. dispensing medicines, monitoring student eg Diabetes.
Support welfare and behaviour teams in locating student and ensuring they get to lessons.
Ensure face to face enquiries from visitors, parents, staff and students are dealt with appropriately, following safeguarding procedures, including sight of ID and DBS.
Assist in the general efficient operation of the school, including supporting/covering other support staff where necessary and as directed by the Head Teacher/Business Manager
Maintain student records in Arbor to ensure records are up to date and logging of events takes place.
Deal with issues involving behaviour, progress, safety, well-being and attendance, by investigating and resolving pastoral concerns linked to a range of issues, including: behaviour, lateness, attendance, bullying and friendship issues.
Medical Academic Year Start and in-year admissions:
Check all new student information sheets for first aid and medical info.
Update the management information system (Arbor) for all new and existing students, who have specific medical needs.
Update consent for medication on Arbor, but refer to paper copies for the administration of medication.
Updated medications to be emailed out to staff for major medical conditions, Asthma, Food related conditions, Sport related conditions. Maintain copies on board in staff room.
Manage communication of more detailed info for Full First Aid at Work first aiders.eg regular visitors to medical room/needs/medication.
Remove out of date medicines from medicine cupboard and update contents sheet.
Comply with GDPR regulations: Remove all medical info on previous students from Arbor and shred paper documents other than those required until child is 25 years old.
Contact school nurse about major conditions (Anaphylactic, diabetics, epilepsy) to see if new care plans are needed or old ones need updating.
Responsible for Asthma communication with parents – provide information on school asthma pumps and UK asthma plan
Undergo updated training for epilepsy, diabetes and other medical conditions as appropriate.
Medical Ongoing:
Liaise with the School Nursing Service ensuring the delivery of the Public Health Agenda in the school, including routine immunisations/health checks.
Create and maintain PEEPs (Personal emergency evacuation plans) for students using lift
Deal with first aid and accidents and log on Arbor or in medicine book daily. Complete Riddor as necessary
Provide support to the students in the case of accidents and illness.
Administer prescribed medications, in the absence of a family member, following the school’s Administration of Medicine Policy.
Provide for the individual care, health and welfare of students within the school environment receiving professional support from outside agencies, teachers and, as appropriate, family members as appropriate
Check medical info of any in year starters.
Check first aid supplies and order more if necessary, including asthma pumps. (Order in Access)
Maintain, check and update first aid boxes in School
Check AED (Defibrillator) and put information on The Circuit website
Maintain accurate records.
Ensure that a hygienic and tidy environment is maintained, cleaning up equipment and spills.
Maintain professional working at all times within professional code of conduct.
Be an identified mental first aider for the school.
