Trust Lettings Coordinator job summary
Affinity Learning Partnership is looking for a confident, enthusiastic and highly organised Trust Lettings Coordinator to coordinate the delivery of lettings and community provision across our Trust sites.
This is an exciting opportunity for someone with experience in lettings, community use, leisure, facilities or a similar operational environment to play a key role in making the best use of our school facilities and strengthening our links with local communities.
About the role
As Trust Lettings Coordinator, you will oversee the day-to-day operation of lettings across our sites, ensuring that our facilities are well managed, welcoming and accessible to community users.
You will:
Coordinate lettings activities across Trust sites and manage lettings enquiries and bookings.
Liaise closely with schools, site teams, the Trust Finance Team, hirers and external organisations.
Coordinate and line manage our Community Duty Officers, including supporting their recruitment and induction.
Ensure appropriate agreements, documentation, records, pricing and terms and conditions are maintained.
Welcome hirers and prospective customers, including providing tours of our facilities where required.
Ensure hirers receive appropriate operational and safeguarding information.
Respond calmly and effectively to operational issues, escalating concerns where appropriate.
Support the promotion and development of Trust facilities for sports and community use.
37 hours per week, 52.143 working weeks per year.
The role has core operational hours of 12.00pm-6.00pm, with flexibility required to support evening lettings, operational close-down and weekend matters where necessary.
The candidate
You will be a natural organiser and problem solver, with excellent communication skills, attention to detail and the confidence to stay calm under pressure. You will keep our lettings and facilities running smoothly while building positive relationships with schools, colleagues, hirers, visitors and external organisations.
You will have experience in lettings, community facilities or a similar operational environment, and the ability to coordinate staff, manage systems and make effective day-to-day decisions.
Most importantly, you will bring energy, initiative and a genuine commitment to great service. You will be trustworthy, flexible and resilient, take pride in getting things right and be willing to go the extra mile. The role also involves travel between Trust sites and flexibility to meet operational needs.
