Weekend Lettings Co-Ordinator/Site Supervisor
We are looking for a weekend Lettings Co-ordinator/Site Supervisor to cover Saturdays and Sundays from 07:30 - 16:00/16.30, plus some week evening hours may also be available. This position could be a job share.
To assist the School Business Manager in ensuring the 3G pitch lettings and all other weekend lettings are efficiently and effectively managed in line with the school’s policy and procedures. To include monitoring the premises, preparing and dealing with lettings and the external users during periods of hire, cleaning of areas used, management of parking and site security. Working independently, you will act as a keyholder and liaise with letting customers, providing them with friendly, professional customer service.
Lettings
Be the first point of call for 3G hirers on the day of their booking, and other school facilities as required.
Carry out daily checks of 3G pitch before use to remove any overnight litter or debris. Carry out visual check of surface, line markings, fences and report as necessary.
Other 3G daily/weekly maintenance requirements. Full training will be given.
Regularly monitor the lettings booking system to ensure the appropriate areas of the school are prepared for bookings.
Open the premises prior to the start of the lettings and ensure it is secured at the end of it.
Always deliver excellent customer service, including showing potential hirers around the facilities and resolving customer queries or complaints, assessing when to pass issues on to the School Business Manager
Ensure that the school’s lettings terms and conditions are being adhered to by hirers.
Set up/move equipment as required by hirers.
Checking the facilities after any bookings ensuring they have been left at the expected standard and resolving any issues.
Site Supervisor/Caretaker
Act as a keyholder and supervise access to the site outside normal school hours.
Ensure facilities are clean, tidy and presentable for bookings
Basic cleaning after events as required
Assist the site team with all aspects of 3G maintenance and upkeep
Maintain a clean, attractive, secure and welcoming site (i.e. picking up litter and emptying litter bins in the areas being hired).
Be responsible for the overall security of the site, its premises and contents in the absence of the Site Team.
To be responsible for the use, cleaning and secure storage of equipment based at the school.
To monitor the levels of supplies and equipment and report to the Site Manager.
To liaise with contractors and suppliers as necessary.
Ensure that current health and safety legislation is complied with and report any concerns to the Site Manager.
Ensure adherence to COSHH, Legionella, Fire and Manual Handling procedures and attend training courses as required
Liaise with the Site Manager or School Business Manager for other duties as required.
Flexibility to take on other appropriate duties as required, including work during the daytime during quiet periods or in the School holidays to support the existing site team.
