We’re looking for a School Administrator based in our Outdoor Woodland School to join our warm and supportive team. You’ll play a vital role in the smooth running of our school — supporting the Headteacher, staff, pupils, and families to ensure that every child receives the care, attention, and education they deserve.  

This is a part time opportunity consisting of 12.5 hours per week. The hours are 2.5 hours a day, Monday to Friday. Hours are flexible each afternoon. 

This role is primarily Woodland based, however there is an expectation to assist over multiple sites where necessary

As our School Administrator, you’ll be at the heart of that mission and the first ‘face’ that our school community and visitors see when they arrive at the school or phone. Your main job: ensuring our school runs smoothly behind the scenes so our staff can focus on what matters most: our pupils. 

Your Key Responsibilities 

  • Provide high-quality administrative support to the Headteacher and wider team including diary management 
  • Be the welcoming face of the school for pupils, parents, visitors, and professionals 
  • Manage recruitment processes, including advertising, DBS checks, and induction paperwork 
  • Maintain accurate, confidential records in line with safeguarding and data protection standards 
  • Maintain accurate staff absence records and support payroll processes 
  • Oversee pupil admissions, staff training records, and staff appraisals 
  • Coordinate and book meetings, school trips, and key events 
  • Manage supplies, orders and delivery of goods and services, ensuring all paperwork is completed 
  • Compose formal and informal letters and emails for a range of purposes 
  • Work closely with our finance and HR teams to manage orders, contracts, and compliance 
  • Ensure the school office runs efficiently, creating a calm, organised, and professional space 

What We’re Looking For 

Essential: 

  • Experience in an administrative role — ideally within education, health, or care settings 
  • Excellent organisation and communication skills 
  • Strong IT skills (Excel, arbor, email, google) and able to learn new systems quickly 
  • The ability to prioritise tasks, work under pressure, and meet deadlines even when lots of tasks need doing at once! 
  • An Excellent communicator with staff, pupils and professionals 
  • A positive, compassionate approach to working with children and families 
  • Commitment to safeguarding, confidentiality, and equality 

Desirable: 

  • Experience of finance and managing receipts 
  • Experience of working as an admin assistant in a school 
  • Understanding of safeguarding, child protection, and data protection legislation 
  • GCSEs (or equivalent) in English and Maths
